This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes ownership of creating an efficient, welcoming workplace.Key Responsibilities:Office Operations & Facilities ManagementMaintain a clean, organized, and fully stocked office environment (kitchen, supplies, common areas)Manage inventory and ordering of office supplies, snacks, and beveragesOversee mail, shipping, and delivery coordinationGeneral office equipment upkeepMaintain office layout, seating charts, cube identification, and nameplatesEnsure shared spaces are regularly cleaned and maintainedCoordinate access control, security procedures, and emergency protocols in partnership with safety teamsSupport onsite visits (customers, vendors, partners), including logistics and preparation.Calendar & Scheduling Support (Light Admin duties)Coordinate complex scheduling across teams, including leadership calendars as neededResolve scheduling conflicts and prioritize meeting needsBook conference rooms and manage logistics for large meetingsAssist with occasional external scheduling (e.g., agency partners)Provide limited support for travel booking and expense tracking.Organizational & Event SupportCoordinate onsite interviews and candidate logisticsManage internal office communications and announcementsSupport vendor sourcing and procurement of materials (e.g., signage, swag, event supplies)Assist with planning and execution of internal events, including: Monthly town halls (scheduling and materials coordination)Annual team eventsCompany-wide gatherings (e.g., picnics)Volunteer and charity eventsSupport trade show and event logistics Coordinate product orders, pickups, and sample deliveries for internal teams.Qualifications:5+ years of experience in office management, workplace operations, or administrative supportStrong organizational and multitasking skills with attention to detailAbility to manage competing priorities and solve problems proactivelyExcellent communication and interpersonal skillsComfortable working independently and taking initiativeExperience with calendar management tools and office systems (e.g., Google Workspace, Microsoft Office).Preferred SkillsExperience supporting leadership or executive-level schedulingEvent planning or vendor management experienceFamiliarity with workplace safety and office operations best practices.What Success Looks LikeOffice runs smoothly with no gaps in supplies, organization, or communicationMeetings and events are well-coordinated and efficientEmployees have a positive, seamless workplace experienceScheduling conflicts are minimized and resolved quickly.Compensation:The annual salary range for this position is $55,000 to $85,000, reflecting the anticipated compensation at the time of posting. Final compensation within this range will be determined based on several factors, including, but not limited to, education, certifications, relevant experience, travel requirements, and overall business needs.
