Administrative Assistant

Summary:Provides comprehensive administrative, clerical, and operational support to ensure the smooth functioning of the department.Assists the Project Vice President, Project Director, and departmental leadership with a wide range of responsibilities including document management, calendar coordination, meeting planning and logistics, internal communications, and event organization.Plays a key role in coordinating travel arrangements, preparing high-quality presentations, supporting onboarding processes, and tracking key performance indicators (KPIs).This position collaborates closely with the project management team and requires a high degree of professionalism, discretion, and confidentiality.Strong Organizational & Prioritization SkillsClear and Proactive CommunicationAbility to integrate data and information into useful tools/communicationOwning calendarBooking flightsCoordinate onsite eventsQualifications:Bachelor’s degree in business administration or related field from an accredited university required or equivalent combination of education & experienceMay consider an Associate’s degree in business or related field of study from an accredited university with 9 years of experience in administrative field required, preferably in a pharmaceutical environmentMay consider a High School Diploma or equivalent with eight 11 years of experience in administrative field required, preferably in a pharmaceutical environmentMinimum of 7 years of experience in an administrative field required, preferably in a pharmaceutical environmentAbility to problem solve & navigate complex assignmentsAbility to thrive in dynamic and ambiguous environments by maintaining focus, adapting quickly to shifting priorities, and making sound decisions with limited informationStrong knowledge & experience using Microsoft Office applications including Word, Excel, PowerPoint & Outlook
