Organizational Background The Oregon Shakespeare Festival (OSF) was founded in 1935 in Ashland, OR, and has grown from a three-day festival of two plays to a nationally renowned theatre arts organization that presents a rotating repertory season of up to 10 plays and musicals, including illuminating interpretations of Shakespeare, other enduring classics, and new works. OSF productions have been presented on Broadway, internationally, and at regional, community, and high school theatres across the country. Position Overview All OSF employees are expected to respect diverse ideas, races, genders, sexualities, abilities, cultures, and religions, and contribute to working in an anti-racist theatre committed to the values of Inclusion, Diversity, Equity, and Access (IDEA). Provide general office support to the OSF company, including mailing and shipping, copy machines, stocking office supplies, and administrative tasks as assigned. Principal Duties and Responsibilities (Essential Functions**): Attend IDEA, sexual harassment and any other anti-bias trainings and workshops as scheduled by the institution. Model and support the mission and values of OSF. Ability to communicate effectively with internal customers to find out what the needs are. Effectively handle multiple tasks and customer needs at once. Process or provide support for all incoming and outgoing mail, packages, and express shipments (prepare materials for mailing including addressing and making labels). Pick up and deliver packages to performers/creative team apartments as directed by Office Manager or General & Company Management. Pick up and deliver packages around OSF and Plaza East campus as directed. Manage the operation of photocopy and postage machine. Oversee office supplies inventory, business cards orders, stationery orders and office equipment for the entire company (place orders, restock, and maintain supply closets). Provide basic training to employees on copy/mail/supplies procedures and equipment. Coordinate with staff regarding structural repairs for all common office machines throughout OSF. Keep maintenance records and negotiate maintenance agreements. Ensure filing systems are maintained and up to date. Additional Duties and Responsibilities: Assist Office Manager and other duties as assigned. Research new office equipment acquisitions and negotiate lease and/or purchase agreements. Complete major or unusually complicated copying projects. Assemble office and residential furniture as directed by Office Manager and General & Company Management. Assist Facilities and Company Management moving office and residential furniture. Ensure compliance with department and company policies and procedures. Assist other OSF employees and departments with assignments as needed. Supervision Received: Reports to Office Manager Supervision Exercised: No direct reports. Liaisons With: Finance Department, Artistic/Production Offices, IT Department, Marketing & Communications Department, Development Department, General & Company Management, Facilities, Executive Director/Executive Assistant, among others. Minimum Qualifications & Skills: Education: High School degree or equivalent experience. Work Experience: N/A Skills, Abilities, and/or Knowledge: Valid driver’s license and clean driving record. Comfortable driving vans and up to 26-foot box trucks. Excellent written and verbal communication skills. Proficient computer skills (Microsoft Office and Adobe Suite). Strong and efficient analytical, problem identification and problem-solving skills. Position requires the capacity to adapt to changing priorities and work well under pressure. Ability to maintain a positive work atmosphere by behaving and communicating in a positive manner with company members, managers, co-workers, and vendors from diverse backgrounds. Ability to maintain a high level of accuracy in preparing and entering information. Comfortable with navigating third party carriers’ websites (USPS, FedEx, and UPS). Physical Ability: Ability to perform repetitious duties, including stairs and standing/sitting for long periods of time, lifting twisting, stooping, and walking. Regularly lift 51 pounds with or without accommodation. Climb ladders. Hours Requirements: Schedule: 9:00 am - 5:30 pm Monday-Friday. Preferred Qualifications & Skills: Education: Associate degree or equivalent experience. Work Experience: Experience in customer service, shipping/receiving, or office support roles.
