Job Description: Bookkeeper / Administrative AssistantLocation: Springfield, IL, 62703Structural Rubber Products Company, Inc. is a family-owned manufacturing company established in 1964 specializing in bridge components and engineered rubber products for state DOT and private infrastructure projects throughout the United States.We are seeking a dependable and organized Bookkeeper / Administrative Assistant to support our accounting staff and daily office operations. This position plays an important role in keeping our office running smoothly and professionally while supporting customers, vendors, shipping coordination, and internal administrative functions.This is a long-term position ideal for someone who enjoys a stable work environment, takes pride in organization and follow-through, and is comfortable working independently in a manufacturing office setting.Responsibilities:Accounting & Office SupportAssist with accounts receivable follow-up through customer emails and phone calls regarding invoice status and paymentsSend invoices, certifications, lien waivers, tax exempt forms, and related documents to customers as requestedEnter vendor invoices into the company ERP/accounting systemScan, organize, and maintain vendor invoice records for the ControllerResearch and obtain missing invoices or documentation as neededPrepare bank deposits and deliver loan payments to the bank when requiredFront Office ResponsibilitiesAnswer incoming phone calls and direct calls appropriatelyGreet and assist visitors including contractors, inspectors, vendors, and delivery personnelReceive and distribute incoming mail and packages from USPS, UPS, FedEx, and freight carriersMaintain a clean and organized front office areaShipping & Administrative CoordinationCoordinate outgoing shipments through UPS, FedEx, USPS, LTL freight, and flatbed carriersMaintain office and breakroom supplies and place orders as neededAssist with company event planning and office coordinationTake meeting notes/minutes as requestedProvide general administrative support to ownership and office staffSafety & Employee SupportParticipate as part of the company safety teamAssist employees with first aid supplies and incident response when neededHelp coordinate transportation to medical facilities if necessaryQualifications:High school diploma or equivalent requiredPrevious bookkeeping, administrative assistant, office support, or accounting support experience preferredExperience with ERP/accounting software preferredProficient in Microsoft Office including Outlook, Excel, and WordStrong communication and organizational skillsAbility to multitask and prioritize changing daily responsibilitiesProfessional and dependable demeanorAbility to work independently and maintain confidentialityValid driver’s license requiredWhat We’re Looking ForWe are looking for someone who is:Dependable and punctualDetail-oriented and organizedComfortable in a manufacturing office environmentProfessional and courteous with customers and vendorsFlexible and willing to help where neededAble to work independently without constant supervisionThe workload in this role can vary from day to day.
