Advancement Associate, Annual Giving & Alumni Relations
The Advancement Associate, Annual Giving and Alumni Relations is a key member of The Potomac School’s Advancement Office and plays an important role in supporting annual giving, alumni relations, stewardship, events, and constituent communications. Reporting to the Director of Annual Giving and Director of Alumni Relations, this position is ideal for a highly organized, proactive, and relationship oriented professional who can manage multiple priorities, work independently, and contribute to a wide range of advancement initiatives with strong follow-through and attention to detail.Areas of ResponsibilityAnnual GivingSupport the planning and execution of annual giving initiatives, appeals, and constituent outreachAssist with annual giving volunteer coordination, including communications, tracking, follow up, and meeting supportHelp prepare donor lists, reports, briefing materials, and project updates to support fundraising effortsSupport donor stewardship and acknowledgement activitiesAlumni RelationsSupport the planning and execution of alumni engagement efforts designed to strengthen alumni connection to The Potomac SchoolAssist with the coordination of alumni events, reunion related outreach, volunteer activity, regional programming, and other alumni initiativesDraft, prepare, and coordinate alumni communications, invitations, RSVP tracking, and follow upSupport digital outreach efforts, including social media content and online engagement, in partnership with colleaguesOperations and Project ManagementMaintain accurate constituent and engagement records in Veracross, GiveCampus, and other Advancement platformsSupport data integrity, reporting, acknowledgements, and tracking for fundraising and engagement effortsManage administrative details for a variety of projects across the Advancement OfficeWelcome and assist office visitors and support general office hospitalityAssist with scheduling, travel arrangements, expense reporting, and department supplies as neededCollaborate with Communications Team to coordinate messaging and engagement through various channels of communicationMaintain discretion and confidentiality in all aspects of workQualificationsBachelor’s degree requiredThree to five years of relevant experience in advancement, alumni relations, annual giving, communications, event coordination, or related work, preferably in an independent school, nonprofit, or higher education settingExcellent written, verbal, and interpersonal communication skillsStrong organizational skills and exceptional attention to detailDemonstrated ability to manage multiple projects and deadlines in a fast-paced environmentAbility to work independently, take initiative, anticipate next steps, and solve problems thoughtfullyStrong relationship building skills and a customer service orientationComfort with both front-facing responsibilities and administrative workProficiency with Microsoft Office and Google Workspace required; experience with Veracross, GiveCampus, Constant Contact, Canva, and major social media platforms strongly preferred.Ability to handle confidential information with discretion and professionalismAppreciation for the mission, culture, and traditions of The Potomac SchoolIn striving to fulfill its mission, The Potomac School seeks candidates of diverse backgrounds who embody our core values of courage, integrity, humility, perseverance, and respect.
