Senior Executive Administrative Assistant

Senior Executive Assistant | Fully Onsite in Edison, NJ (M-F, 8am-4:30pm)We're seeking a Senior Executive Assistant that's comfortable operating across multiple functions in a fast-paced commercial real estate environment. The EA will support senior leadership, including close partnership with executive stakeholders and the comptroller. This is a hands-on, operationally focused EA role that blends traditional executive support with exposure to real estate operations, lease administration, finance coordination, and vendor management.Key ResponsibilitiesExecutive & Administrative SupportProvide day-to-day support to senior leadership, including calendar management, meeting coordination, and general administrative needsServe as a liaison between executives and internal/external stakeholdersAssist in preparing documents, reports, and communicationsGeneral Office & Project SupportHelp manage ongoing operational priorities tied to portfolioMaintain electronic filing systems, ordering office supplies, and ensuring a tidy, efficient office environmentHandle phone calls, responding to emails, and correspondence to the appropriate personnelCoordinate meetings, logistics, and cross-functional communicationSupport ad hoc projects across leadership and operations teamsReal Estate & Lease Administration SupportSupport lease processing and lease administration activitiesAssist with tracking agreements, documentation, and key deadlinesMaintain organized digital records (99% electronic filing environment)Financial & Operational CoordinationPartner closely with the comptroller on administrative and coordination tasksCoordinate with external accountants on documentation and reporting needsAssist with vendor communications, including lenders and service providersVendor & Broker CoordinationWork with insurance brokers on policy documentation, renewals, and filingsAssist with healthcare plan coordination, including scheduling meetings with external benefits brokersTrack deliverables and ensure timely communication across all third-party partnersQualifications10+ years of experience in an Executive Assistant or senior administrative rolePrior experience in commercial real estate, property management, or a related industry strongly preferredExperience supporting finance, accounting, or operations teams is a plusStrong organizational skills with the ability to manage multiple priorities simultaneouslyHigh level of attention to detail, especially with documentation and recordkeepingComfortable working with external vendors, brokers, and professional service partnersProficiency in Microsoft Office Suite (Word, Excel, and PowerPoint)Strong communication skills and ability to operate with professionalism and discretionCompensation & Benefits:Salary: $75,000 $80,000 + end of year bonusesCompetitive healthcare plans, 401(k) with company match, and paid time off!
