Supports both government and company managers andemployees through a variety of tasks related to organization and communication. Responsible forconfidential and time sensitive material. Familiar with a variety of the field's concepts, practices,and procedures.Ability to effectively communicate via phone and email ensuring that all AdministrativeAssistant duties are completed accurately and delivered with high quality and in a timelymanner. Rely on experience and judgment to plan and accomplish goals and a wide degree ofcreativity and latitude is expected. Reports to the Program Manager.Administrative Assistant Responsibilities Answer and direct phone callsMaintain internal and external contact listsSchedule and manage conference meetings and reservationsAssist with maintaining purchase log and the purchasing process life-cycleAssist in the preparation of regularly scheduled reportsAssist new hires with CAC paperwork submissionDevelop and maintain a filing systemReceive, sort, and distribute the mailTravel CoordinationAssist with employee travel arrangementsActs as a backup travel preparer for government travelSchedule Federal Passport application/renewalsPOC for visitor request forms: Coordinate with staff for approval, notify Security, and schedule with IT for CAC area accessIntake and routing of visitors to areas as requiredServe as POC when manager is not directly availableSupport guestsAssist with maintaining purchase log and the purchasing process life-cyclePromotional flyers and documents, support internet and intranet contentCarry out administrative duties such as filing, typing, copying, binding, scanning, and other related tasksAssist with maintaining site documentation such as handbooks, manuals, reports, diagrams, and moreCreate & Manage training databaseSafety training: Electricians, Operators, OperationsNotify staff of training requirements and dates (cybersecurity training, etc.)Promotional flyers and documents, support internet and intranet contentMaintain computer and manual filing systemsHandle sensitive information in a confidential mannerRequirementsHS Diploma required3 plus years of hands on administrative office related experienceMS Office to included Word, Excel and PowerpointExcellent communcation and customer service skillsWe invest in the lives of our employees, both in and out of the workplace, by providing competitive pay and benefits packages.
