Job Title: Administrative Assistant Location: Penns Park, PA This role is ideal for a highly organized administrative professional who thrives in a client-centric environment. The position supports someone who enjoys being part of a team, contributing to positive client experiences, and assisting wherever their expertise is needed. A professional demeanor helps elevate the overall client experience. The role requires experience and the ability to accurately and securely transfer confidential files using encrypted email and file-sharing platforms, including but not limited to Dropbox, SharePoint, and ShareFile. Success in this position involves building strong relationships across the project team, including Forensic Engineers, administrative staff, and members of the leadership team. A strong can-do attitude is essential, along with pride in follow-through and reliability. Clients and team members rely on this role for consistent, dependable project support. The position offers variety in daily responsibilities, including front-office and reception backup for scheduled breaks and absences as needed, secure electronic downloading and filing, management of outbound mail and packages, updating CRM systems and project reports, assisting with new project setup, and supporting a national sales and marketing team as needed. The role is well suited for someone eager to take on increasing responsibility and join a team that offers career growth opportunities. Responsibilities Provide front office and reception coverage as part of the administrative team's backup rotation, as needed. Manage high-volume secure file downloads and electronic filing in a fast-paced environment. Provide general administrative support to project teams for new and existing projects. Prepare and distribute inbound and outbound correspondence and packages (USPS, UPS, FedEx, etc.). Update project reports and CRM databases accurately and timely. Scan and electronically file confidential, legal, and project documents. Assist with special event planning and setup. Support office staff and the business development team with special projects, as needed. Prepare and distribute inbound and outbound correspondence and packages to support sales and marketing activities. Perform other duties as assigned.
