Title: Deputy ClerkState Role Title: Salary Non-SpecifiedHiring Range: $50,022Agency: Supreme CourtLocation: Arlington General District CourtAgency Website: www.vacourts.govRecruitment Type: General Public - GAdditional DetailJob DutiesThe Financial Administration Deputy Clerk (Grade 9) is responsible for automated accounting and financial management activities for the Arlington General District Court. This includes the proper recording of all transactions: e.g., fines, court costs, bond payments, etc., and their efficient processing and disbursement. This individual prepares the bank deposits, reconciles monthly statements and prepares the weekly and monthly accounting reports required by the Committee on District Courts (CDC). Whereas there are some responsibilities that would require the entire day, this position also contributes to the day-to-day operations of the Clerk's office which could include everything from case entry to going to court along with other duties as assigned.This position offers a competitive benefits package, which includes vacation and sick leave, 13 paid holidays, health insurance, retirement, life insurance, deferred compensation and short- and long-term disability.Essential Duties & ResponsibilitiesThe Financial Administration Deputy Clerk' duties and responsibilities include but are not limited to the following:Collect or refunds fines, costs, bonds, etc. and issue receipts;Maintains and updates ledgers;Prepares daily cash settlement slips, batch control cards, and bank deposit slips; reconciles monthly bank statements;Prepares or assists clerk in preparing financial and budget reports or other statistical analyses as required;Coordinates and prepares the GDC for its annual audit with APA.Ensures the proper and timely disbursements are made to the appropriate city, county, state agency or vendor;Coordinates all restitution processes for the clerk's office;Responsible for collections for past due accounts;Coordinates with the state on tax set off procedures.Contributes the effective and efficient operation of the Clerk's Day to day operations, which may include all responsibilities of a deputy clerk.Assumes additional responsibilities on a temporary basis other than those primarily assigned to the position as required by the clerk.Other duties as assigned.Minimum QualificationsThe most competitive candidates will possess:A combination of education and experience is required to provide competence in the areas of responsibility. Experience is generally more beneficial; however, education and experience may balance one another. Less experience may be balanced by education in the relevant areas; conversely, less education than recommended may be balanced by increased experience in relevant areas. Generally, the following will apply: High school diploma or equivalent plus additional course work in such areas as accounting, bookkeeping, and data processing is recommended as one means of establishing competency.College degree or some college preferred.Some/ considerable bookkeeping experience or familiarity with posting ledgers, journal entries, cash processing, and ability to prepare (or assist the clerk in preparing) required reports and budgets.DATA ENTRY OR TYPING SKILLSMost competitive applicants usually type 40 W.P.M. with high accuracy.TECHNOLOGYProficiency in the use of personal computers, PC applications, such as WORD and EXCEL, as well as automated records management and financial systems required.A thorough understanding of FAS and functions.BOOKKEEPING AND ACCOUNTINGAbility to independently perform bookkeeping or accounting duties is required as well as to coordinate work with others. The Financial Administration Deputy Clerk shall refer unusual cases to the Clerk/ Chief Deputy.INTERPERSONAL SKILLSTact, diplomacy, and courtesy are necessary to deal with public requests for routine information.Physical Demands and Work EnvironmentWork is primarily performed in an office and courtroom setting. Duties require the ability to sit, stand, walk, bend, reach, and operate standard office equipment. The employee may be required to lift or carry items weighing up to approximately 10 pounds.
