Purchasing Assistant - RMA - Portland, OR

Location: Portland, OR - this position is onsite our our corporate office in Portland. It may have the opportunity to move to a hybrid remote role after 90 days. Pay: $22.00 - $24.00 per hour What you’ll do: Responsible for but not limited to assisting Lead RMA Specialist and RMA Manager in processing, submitting, and completing of daily RMA submissions. Maintaining accurate and up-to-date spreadsheets and RMA records, with daily updates to all stages of the RMA process. Keep track of RMA purchase orders using the Open PO report, conducting follow up with vendors, processing invoices and working with accounting and project management teams on any issues pertaining to RMA’s. RMA Assistant may also support Purchasing Manager and Purchasers as needed. Duties and Responsibilities Assist in daily operation of RMA’s, ensuring timely submissions of requests and accurate follow-up. Assist with life cycle of RMA’s from inception through completion, maintaining accurate records of each submission. Assist in maintaining accurate tracking and inventory transfers related to RMA’s. Maintain up-to-date records of each vendor’s RMA process. Maintain up-to-date and accurate RMA spreadsheets. Research credits/invoices unrelated to open RMA's. Work with vendors to ensure credit memos are received in a timely manner; process credit memos once received. Follow-up with technicians to ensure timely shipment of items to be returned to vendors and/or the warehouse. Research and respond to RMA inquiries from accounting and other departments, as requested. Research if parts are in-warranty to determine if an RMA can be submitted. Pull Open PO report on a weekly basis and research credits/invoices related to open RMA's. Develop relationships with vendors, technicians and other internal departments Assist with Accounting requests Act as liaison between RMA team and warehouse teams to help manage repaired/returned items. What you’ll bring: Qualifications: Access Control experience with Lenel and AMAG. Certification a plus, but not required. Must be able to perform each essential duty satisfactorily. Education/Experience: HS Diploma or GED equivalent required; Bachelor’s degree strongly preferred. 1 or 2 years related experience and/or training; or equivalent combination of education and experience.
