This role sits at the intersection of legal support and executive operations, working closely with company leadership and external legal counsel to support corporate initiatives. The ideal candidate will bring a strong background in legal administration and executive support, with a focus on improving processes, driving efficiency, and maintaining high standards of confidentiality and professionalism.Job DescriptionThe Paralegal/Executive Assistant will provide comprehensive legal and administrative support to the executive team while serving as a key liaison with internal stakeholders, external counsel, and business partners.Key ResponsibilitiesDraft, proofread, and manage legal documents and correspondenceSupport contract lifecycle processes, including review, tracking, and database managementCoordinate with external legal counsel on mergers and acquisitions (M&A), compliance, and corporate governance mattersReview and provide input on sales agreements and non-disclosure agreements (NDAs)Prepare and submit annual government filings and maintain corporate records, including meeting minutes and required reportsManage executive calendars, schedule meetings, and prepare presentations and reportsCoordinate signatures and communications with vendors and external partnersProcess and track expense reimbursements for leadershipConduct legal and background research as neededServe as a primary point of contact between executive leadership and internal/external stakeholdersProvide leadership and direction to a small team of administrative professionalsIdentify opportunities to improve processes and leverage technology (including AI tools) to increase efficiencyQualificationsRequired Qualifications:5+ years of experience supporting executives in an administrative or legal support capacityAdvanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Strong organizational and time-management skills with the ability to multitask in a fast-paced environmentExcellent attention to detail and accuracy in documentationHigh level of professionalism, discretion, and confidentialityStrong written and verbal communication skillsProven ability to build and maintain professional relationshipsExperience coordinating complex schedules and managing executive-level prioritiesAbility to create, document, and improve internal processesPreferred Qualifications:Bachelor's degree in Legal Studies or related field, or equivalent paralegal certificationExperience supporting legal functions such as contract management, corporate governance, or complianceFamiliarity with M&A processes and working with external legal counselExperience leveraging technology, workflow tools, or AI solutions to improve operational efficiencyExperience leading or mentoring administrative staffBenefitsOur client offers a comprehensive and competitive benefits package designed to support employees' health, financial well-being, and overall work-life balance.
