REQUIRES PRIOR experience working within a school system as a registrar.POSITION SUMMARY:Manage the coordination of campus-level student records between participating early learning centers and HISD, inclusive of enrollment, withdrawals, and data integrity within the designated student information system while ensuring compliance with district and state regulations.THE CHALLENGE AND THE OPPORTUNITYA child's earliest years shape every milestone that follows: school success, workforce readiness, and economic opportunity. If you have bilingual English/Spanish oral and written fluency, at least 2 years in school records management and experience in a K-12 school environment (early childhood services preferred), plus proficiency with student data management information systems, we encourage you to apply!When you join our pre-k partnership team, some of the essential work and responsibilities you will handle include:Records ManagementMaintain accurate and confidential student records, attendance, and student database updates in an efficient manner and within prescribed timeframesVerify and validate documentation, including birth certificates, immunization records, proof of residency, etc. before entering data into various systems.Must understand the importance of Special Education and ELL recordkeeping.Engage regularly with early learning center providers and parents to obtain data elements for reporting. Student EnrollmentCoordinate with early learning centers to receive and process new student online registrations, transfers, and withdrawalsSupport family outreach efforts and onboarding for the pre-k partnershipData Accuracy and ReportingTranscribe and code data, ensuring compliance with district and state reporting standardsConduct periodic internal audits to ensure efficacy of enrollment and attendance data and records retention practicesPrepares quarterly reporting for the district, early learning centers and within Collaborative.ComplianceEnsure compliance with FERPA regulations, immunization requirements and legal documentation (i.e. divorce decrees, custody orders, etc.)Ensure compliance with HISD, state and federal reporting requirements (PEIMS)We embrace diversity in backgrounds, talents, experiences, interests, and ideas. Other traits, knowledge, skills, and abilities needed and desired for this position include:THE MUST HAVESBachelor's degree with majors in education, early childhood education, business administration, public administration, or social science preferred, orHigh school diploma as a minimum with 5-8 years of prior district registrar experience Minimum 2 years in school records management strongly preferredExperience in a K-12 school environment, particularly with early childhood services,is highly valuedRequires bilingual English/Spanish oral and written fluency Demonstrated proficiency with student data management information systems (e.g. PEIMS, Apricot, PowerSchool, TRAC, Infinite Campus) preferredFamiliarity with Texas education laws and compliance requirementsHigh level of professionalism and communication skillsPossess the ability to utilize time management strategies effectively, inclusive of attention to detail and the ability to prioritize tasks.Possess the ability to work effectively with parents, caregivers, early learning center staff, and district staffAbility to manage multiple projects and competing deadlines with attention to detail.High level keyboard skills to manage high volume of data entryPolished interpersonal skills and comfort working with executives, stakeholders, and community partners in a collaborative manner and in a highly confidential manner.Ability to work primarily remotely, requiring self-discipline to work independently and collaboratively in a team environmentEquipment and Software:Computer skills with intermediate proficiency related to Microsoft Office software (i.e. Word, Excel, PowerPoint)Experience with email/communications/scheduling software (i.e. Outlook)Experience with digital platforms (i.e. TEAMS, ZOOM, etc.) desiredExperience using a student information system (e.g. PEIMS, PowerSchool, Apricot, Infinite Campus, etc.)Knowledge of computer network operations, data entry and retrieval using technologyDemonstrated use of generative AI tools very beneficial (Copilot, ChatGPT)Must be able to work a 40 hour, Monday - Friday scheduleSchedule flexibility to accommodate occasional weekday evening hours Must have reliable, personal transportation because this position requires driving to different locations, on occasion, in the greater Houston areaA valid Texas Driver's License, and current vehicle insurance coverageTHE PERKSWork hours: flexible scheduling. Compensation: This is a Non-Exempt, Hourly, Full-Time position. Hourly pay rate range, based on experience, is $26.45 - $28.85 ($55,016 - $60,008 annualized). Paid bi-weekly on Fridays.Annual Merit Adjustments: Increase to base pay rate is based on the prior year's performance.Health and Supplemental Insurance: HDHP medical option that includes $1400/year employer-paid contribution to a Health Savings Account (HSA), prorated based on hire date. Also, a lower deductible PPO medical option. Other insurance options: Dental, Vision, Voluntary Life/AD&D, Accident, and Critical Illness, AFLAC Cancer and Life policies. Employer-paid STD, LTD, Basic Life/AD&D insurance. Benefits eligibility is first of month after hire.Retirement Plan: 1:1 employer matching contribution up to 6%.
