Robert Half client is looking for a proactive and detail-oriented Office Assistant to join our team in San Ramon, California. This contract to permanent position requires a candidate who can efficiently manage administrative duties, support accounting tasks, and ensure smooth daily operations. The ideal candidate will demonstrate strong organizational skills and a commitment to maintaining professionalism in a fast-paced environment.Office Assistant Responsibilities:• Maintain and update customer records, billing contacts, and documentation• Prepare and distribute routine customer correspondence (invoices, statements, reminders)• Monitor shared inboxes and route inquiries to the appropriate team member• Track outstanding items and follow up on responses from customers or internal teams• Assist with organizing and filing documents (invoices, remittance advice, emails, agreements)• Enter and update data in spreadsheets or internal systems accurately and timely• Prepare basic reports or summaries for the AR or finance team (status tracking only)• Coordinate with sales, customer service, or operations to resolve non‑financial billing issues• Schedule follow‑ups and maintain task or request logs for the team• Support month‑end or reporting cycles through document collection and checklist tracking• Respond to routine requests with professional, customer‑friendly communication• Ensure records are maintained in compliance with company documentation standards• Provide general clerical and administrative support such as scanning, copying, and emailingIf you are interested in this Office Assistant position, please apply today!• Proficiency in computer skills, including Microsoft Office; experience with Yardi Voyager is a plus.• Must have a reliable vehicle and a valid driving record for tasks such as bank runs and office supply purchases.• Ability to type a minimum of 45 words per minute.• Data entry skills with a minimum speed of 10,000 keystrokes per hour.• Strong attention to detail and accuracy in all tasks.• Excellent organizational skills to manage multiple responsibilities effectively.• Ability to meet deadlines and work well under pressure in a dynamic environment.TalentMatch®Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
