Handle sensitive and confidential information while engaging with internal and external stakeholders in a professional and responsive manner. Reports to: Chief of Staff, Board Relations, and Strategic EngagementMajor Responsibilities And DutiesRecords, Reports, and CorrespondenceRecords minutes of executive staff meetings as required.Prepares correspondence, memoranda, and compile reports for the President's Office.Ensures compliance with federal, state, and institutional policies and procedures.Reception and SchedulingAnswer incoming calls and greet visitors; respond to routine inquiries and direct appropriately.Assists in management of the President's calendar, including scheduling appointments and meetings.Operations and SupportCoordinates travel arrangements for executive staff, including transportation, lodging, and registrations.Assists with event planning, coordination, communication, and logistical support for the President's Office.Demonstrates a high level of professionalism in all interactions, representing the Office of the President with discretion and courtesy.Maintains strict confidentiality in all aspects of the role, including handling sensitive information and communications.Effectively navigates a dynamic, high-impact work environment that requires adaptability, sound judgment, and prioritization of competing demands.Follows college safety protocols and emergency procedures.QualificationsMinimum Qualifications:The Minimum Qualifications For This Position AreHigh school diploma (Required)Associate's degree (Preferred)Minimum of 5 years of advanced administrative support experience, preferably at the executive levelDemonstrated experience working with internal and external stakeholders and supporting organizational operationsKnowledge of college operations, administrative policies, and human resource practicesAbility to read and comprehend instructions, correspondence, and memosAbility to make independent decisions related to planning, organizing, and schedulingExcellent public relations, organizational, communication, and interpersonal skillsStrong proficiency in Microsoft Office and related software for data analysis and document preparationAbility to manage multiple priorities and complex administrative tasks simultaneouslyLOCATION: 100% ON-SITE PRESENCEPreferred QualificationsExperience providing executive-level administrative supportExperience supporting governing boards, including preparation of agendas, minutes, and meeting coordinationPrevious experience in administrative support within higher education or a similarly complex organizationTo apply, visit https://www.paycomonline.net/v4/ats/web.php/portal/C3B2B056DC3ED5A1D17132585A7FF495/jobs/73378Copyright ©2025 Jobelephant.com Inc.
