Programming Coordinator

AREA15 is seeking a Programming Coordinator to lead the planning and execution of assigned events and activations across our campus. This role is responsible for owning events end-to-end—from confirmation through on-site execution ensuring a seamless experience for clients, partners, and guests. This is a highly visible, client-facing role suited for a polished, detail-oriented professional who can independently manage multiple programs while collaborating cross-functionally in a fast-paced environment. RESPONSIBILITIES AND DUTIES:Own the full planning process for assigned events from confirmation through post-eventDevelop and manage detailed run-of-show documents, timelines, and execution plansLead on-site execution for all assigned events, ensuring seamless delivery and alignment with client expectationsAnticipate needs, troubleshoot issues in real time, and ensure a high-quality guest and partner experienceServe as the primary point of contact for clients and partners throughout the planning process and onsite event executionManage ongoing communication, expectations, and deliverables from confirmation through executionBuild strong working relationships while maintaining a professional and solutions-oriented approachCoordinate all logistics including rentals, staffing, technical needs, and operational requirementsEnsure all vendors are aligned with timelines, budgets, and event expectationsTrack and manage event-level budgets, ensuring alignment with approved parametersSupport budget reconciliation and ensure accuracy of all event-related expensesComplete post-event recaps, including performance insights and key learningsProvide necessary event details, timelines, and updates to all internal teams including but not limited to Marketing, Operations, Guest Experience, and SecurityCollaborate within the Programming team to ensure consistency and quality across all activationsUtilize: TripleSeat, Ticketure, EventHub, Claude or other AI toolsContribute to the successful execution of the broader programming calendar through assigned programsProvide support on additional events or activations as needed based on team prioritiesRespond to time sensitive matters.Demonstrate ART! (AREA15's service standards) in every guest interaction.Adhere to department and company policies and procedures.Maintain a professional, polished appearance in line with AREA15 standards.Work various shifts, including nights, weekends, and holidays.Perform other work-related duties as assigned.QUALIFICATIONS & SKILLS:Applicants must be 21 years of age or olderProof of eligibility to work in the United StatesComfortable working in a creative, entrepreneurial start-up environment, introducing new concepts and innovations.5+ years of experience in professional event planning and executionProven client-facing experience in a professional environmentRequired Proficiency in TripleSeat, Ticketure, EventHub, Claude, and other AI tools.Demonstrated ability to independently manage events from concept confirmation through executionStrong organizational skills with the ability to manage multiple projects simultaneouslyExcellent communication and relationship-building skillsAbility to problem-solve quickly and remain composed in fast-paced or high-pressure environmentsExperience in entertainment, hospitality, or experiential environments strongly preferredAbility to understand, speak, read, and write the English language.Computer skills in Microsoft applications. (Excel, Outlook, Word, etc.)Availability for varied shifts, including evenings, weekends, and holidays as required.Ability to work in an environment subject to varying levels of noise, crowds, flashing lights, and smoke.Ability to work in all weather conditions including but not limited to extreme heat, sun exposure, wind, rain, extreme cold.
