Education Dept Office, Records/Compliance Assistant

The Education Department at Waldorf University has an immediate opening for an Office, Records/Compliance Assistant supporting the department, faculty, and students. This position works closely with Education Department faculty, the Licensure Officer, and the Clinical & Student Teaching Coordinator. This role is central to ensuring successful student advising, acceptance into the Teacher Education Program, placement in student teaching, graduation readiness, and student success in securing teaching positions after graduation.The successful candidate will be highly detail-oriented, organized, proactive, and enjoy records management and administrative coordination. This position is scheduled for approximately 30–32 hours per week year-round during regular business hours.ResponsibilitiesProvide administrative support for the Education Department, including attending department meetings, preparing and distributing meeting minutes, action items, and follow-up communications.Coordinate with other university departments as needed to support departmental operations.Respond professionally and effectively to inquiries and requests, both verbally and in writing.Assist faculty, staff, and students with general office support and departmental resources.Maintain department files, office supplies, and an organized workroom environment.Accurately record, post, and audit reports to ensure student and state-related records remain current and accurate.In coordination with the Licensure Officer and Student Teaching Coordinator, audit student records for admission into the Teacher Education Program and recommendation for licensure.Schedule and audit student records to ensure compliance with university and state requirements.Collaborate with the Department Chair to review and anticipate Education Program course offerings and student course sequencing needs.Assist with departmental budget administration, including tracking and submitting travel reimbursements for student teacher supervisors in consultation with the Department Chair.Manage mass communications to students and faculty regarding deadlines, policies, procedures, and departmental updates.Maintain the accuracy and completeness of the Education Department pages on the Waldorf University website.Perform other duties as assigned.Qualifications & SkillsAssociate degree required with one to three years of related administrative or records management experience, preferably in a higher education setting.Strong organizational, communication, and interpersonal skills with exceptional attention to detail and accuracy.Ability to manage multiple priorities, meet deadlines, and maintain confidentiality when handling sensitive student and university information.Familiarity with university systems, integrated databases, records management, and Microsoft Office applications, including Word, Outlook, and Excel.Ability to interpret and apply policies, procedures, and regulations related to student records and compliance, including FERPA and State of Iowa requirements.Demonstrated professionalism, initiative, and a genuine interest in supporting students, faculty, and future educators while contributing to the mission and goals of Waldorf University.Benefits: This is a full-time benefit eligible position.
