Administrative Coordinator for the Senior Pastor
Palm Desert Community Presbyterian Church (PDCPC) is seeking a highly organized, relationally gifted, and detail-oriented Administrative Coordinator for the Senior Pastor. This role provides essential administrative, organizational, and communication support to the Senior Pastor while serving as a collaborative member of the staff team. The Administrative Coordinator plays a vital role in advancing the mission and vision of PDCPC by ensuring excellence, clarity, and care in pastoral, governance, and congregational communications.
This position requires both professional administrative competence and a pastoral sensitivity, offering support that is efficient, confidential, and grounded in a spirit of hospitality and service.
Senior Pastor Support
Manage and maintain the Senior Pastor’s calendar, scheduling meetings, appointments, and ministry priorities.
Manage correspondence on behalf of the Senior Pastor, ensuring timely and thoughtful communication.
Organize and maintain digital and paper filing systems.
Maintain office supplies for the Senior Pastor’s office.
Provide editing and document preparation support as needed.
Coordinate logistics for meetings, events, and gatherings involving the Senior Pastor.
Arrange travel accommodation as required.
Session & Governance Support
Serve as a primary administrative liaison between the Senior Pastor, the Clerk of Session, and Session members.
Prepare monthly Session reports and supporting documentation.
Maintain accurate rosters and records for Session committees and leadership assignments.
Provide administrative support for the church officer nominating, training, and ordination/installation processes.
Worship Administration
Prepare, maintain, and communicate the official preaching and assisting schedule.
Maintain weekly worship attendance records and related tracking.
Communications & Relational Support
Provide relational, professional, and pastoral communication—both written and verbal—with congregants, staff, leaders, and guests.
Ensure a high standard of excellence and hospitality in all communications connected to the Senior Pastor’s office.
Prepare relational correspondence on behalf of the Senior Pastor, including acknowledgements of milestones, celebrations, and pastoral occasions.
Prepare and send invitations for Session, staff, and other gatherings as requested.
Scheduling & Facilities Coordination
Manage facility requests associated with the Senior Pastor’s office, including communication of setup needs and instructions.
Budget & Financial Administration
Oversee the Senior Pastor’s budget in coordination with the church accountant.
Prepare and submit reimbursement requests, deposits, contributions, and financial documentation.
Code invoices and receipts and maintain organized financial records.
Other Duties
Perform additional administrative or support tasks as needed to serve the mission and ministry of the church.

Proficiency with digital tools for scheduling, document management, and communication.
Experience in a church, nonprofit, or missiondriven organization preferred.

Working Relationships & Rhythm
Meet regularly with the Senior Pastor for planning, coordination, and support.
Participate in weekly Monday staff meetings.
Participate in weekly Worship Planning meetings.
Participate in monthly Session meetings.
Evaluation and Accountability
Performance will be reviewed annually by the Senior Pastor. This position is expected to model professionalism, collaboration, and commitment to the mission and values of Palm Desert Community Presbyterian Church.

Schedule and Hours
This position offers a flexible schedule, with most hours occurring during standard weekday business hours. Some evening or after-hours meetings are required and are scheduled well in advance whenever possible. The position is part-time, averaging 25–30 hours per week.
Compensation will be:
Position Type: Parttime (maximum of 30 hours per week)
Compensation: $46,800 annually ($30.00 per hour)
