Office Manager
THE ROLE Xerxes Global seeks an experienced, proactive part-time Office Manager to ensure the smooth operation of our office in Minneapolis. The ideal candidate will have experience in handling a diverse range of responsibilities including administrative duties, coordination, and executive support. We are looking for a dedicated professional who can effectively manage the day-to-day operations of the office, anticipate needs, and contribute to a positive, efficient work environment for our team. This person should have excellent verbal and written communication skills, a passion for customer service, and the ability to problem-solve and excel in a self-directed environment. This position is a key supporting role that comes with a lot of flexibility and a high-level of responsibility and impact to drive the success and growth of the company. Responsibilities Serve as the Point Person for office manager duties: Maintain the office condition and arrange repairs, as necessary. Address employee queries regarding office management issues Welcome guests and provide support to visitors, including guest Wi-Fi assistance Purchase office supplies and manage inventory. Purchase office snacks and beverages and manage inventory. Order meals and coordinate office events. Responsible for any outgoing/ incoming packages and mail. Manage shared scheduling for conference rooms. Partner with HR and Management to organize office operations and procedures. Manage contract and price negotiations with office vendors and service providers. Assist in organizing company wide and office specific activities including support for quarterly town hall and leadership meetings. Liaise with facility management. Maintain calendars for any leadership that requests help. Qualifications Xerxes Global is a scaling enterprise encompassing businesses in data management, merger and acquisitions business advisory services, and management advisory for retail and consumer management professionals. Important competencies to effectively perform in this role include: At least two years of experience in administrative role.Associate degree or equivalent experience required. Strong communicator with excellent listening, written and verbal skills, superior attention to detail and “whatever it takes” attitude. Superior time management, task management, customer service and flexibility. Emotionally intelligent and comfortable “leading from behind” while maintaining a high degree discretion and integrity in a fast-paced entrepreneurial environment. High degree of confidentiality. Strong people skills and the ability to build relationships. Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
