We are currently looking for a highly organized and proactive Executive Assistant to the CEO. The ideal candidate will be an independent professional and responsible worker, with exceptional communication skills and meticulous attention to follow up details. This person will provide high-level administrative support to the CEO and occasionally other members of the Executive Management Team, including day-to-day tasks, document management, contact with C-Suite Executive-Level clients and project oversight from start to completion. Tech savvy with compliance knowledge is very helpful as well as support in a Sales driven environment. Objectives of this role Support the CEO in all day-to-day tasks, professional and personal scheduling, and communications; provide support to the Executive Management Team, as requested. Management meeting minutes and follow-up through completion. Work with the CEO to provide professional, accurate and timely high-level communication and follow up To bring organizational skills, knowledge, energy and passion to a fast-paced, growing technology company. Essential Responsibilities: Prepare agendas and make other meeting arrangements for committee, board, and other meetings. Take detailed notes at all meetings as required, distribute, and follow-up through completion on all open tasks. Correspond with existing and future clients by email and phone in a timely manner. Provide administrative and office support as needed. Answer phone calls as needed and direct calls to appropriate parties or take messages. Manage corporate documents, records, and reports; monitor, update, and manage all client documents and agreements. Assist the CEO in the preparation and follow-up of regularly scheduled reports and presentations. Maintain compliance with ISO certification requirements for documents management. Prepare and update sales materials in PowerPoint, Word, and Excel. Update posts on social media platforms like Facebook, LinkedIn, and on company blogs. Collaborate with cross-functional teams on project schedules and plans. Ensure that the corporate brand is consistently applied and accurately reflected on all communications. Other duties as reasonably requested. Essential Skills/Experience: The successful candidate for this position will have, at minimum, the following skills, experience, and characteristics. · Strong written and verbal skills required to produce regular internal and external communications. · Proven experience in executive administrative support or as a personal assistant with strong organizational skills. · Five years or more experience as an executive assistant or comparable high-level administrative position. Tech Savvy is a must · Two years or more of high-level competency with Microsoft 365 applications including Teams, PowerPoint, Excel, Word, and Outlook. · Database and Sales CRM experience would be helpful. Knowledge of HubSpot and Smart Sheets helpful · Familiarity with ISO certification requirements for documents management would be helpful. Competencies: This role requires, at minimum, the following competencies: · The ability to work independently and to prioritize workloads effectively. · Excellent organizational skills and standards. · Professionalism and strict confidentiality with all materials always. Work Environment/Physical Demands: · This role works within a professional office environment and is expected to regularly interact with our team on site in our Pataskala corporate office. This is a full-time, in-office position · Professionalism and discretion are required. · The role requires you to answer telephone calls, communicate with clients and other stakeholders, use a computer and various software applications, and competency with other standard office equipment. Required Credentials, Education, and Certifications: · Bachelor’s degree (preferred) or experience commensurate with the position. Technology experience helpful · Familiarity with ISO certification requirements for documents management.
