Full-Time Operations Assistant (Senior Leadership Business Operations Support)Westport, CT | Supporting NYC Offices | Summer Flexibility AvailableAre you highly organized, proactive, and eager to learn how a growing healthcare business operates from the inside?We are looking for an Operations Assistant to work closely with the senior leadership team on the day-to-day operations of a fast-paced, growing medical practice. This is a hands-on role with exposure to multiple areas of the business, including operations, recruiting, HR, marketing, reporting, vendor coordination, and office support.This is a great opportunity for someone who wants to learn a lot quickly, take ownership of real projects, and become an important part of keeping a growing organization running smoothly.What You’ll Do:In this role, you will help support many of the core functions that drive the business forward. Responsibilities may include:Senior Leadership and Operations Support-Support the CEO and leadership team with daily administrative and operational needs-Help organize priorities, follow up on projects, and keep key initiatives moving-Prepare and maintain daily, weekly, and monthly operational reports-Maintain organized electronic filing systems and documentation-Help improve internal processes so the business runs more efficientlyRecruiting & HR-Assist with the full recruiting process, including job postings, resume review, interview scheduling, and candidate communication-Support employee onboarding and offboarding-Help maintain employee records, credential files, benefits documentation, and HR paperwork-Assist with attendance tracking and employee leave documentation, including DBL, PFL, and FMLA paperwork-Coordinate onboarding efforts with third-party platforms and vendorsAdministrative & Vendor Coordination-Assist with office supply ordering, marketing mailers, purchases, and vendor communication-Organize company-wide purchases and documentation-Help manage employee files, credential records, and other important business documents-Support multiple office locations, including NYC offices and satellite locationsMarketing & Growth Projects-Help support social media activity and engagement across platforms such as Facebook, Instagram, LinkedIn, and website-related channels-Assist with marketing campaigns, outreach projects, and growth initiatives-Support future physician office visits, community outreach, and local relationship-building effortsWho You AreThe ideal candidate is someone who is dependable, detail-oriented, and excited to learn.
