Administrative AssistantThe Administrative Assistant role entails providing support to senior leadership and their team. The responsibilities include:Managing calendars including scheduling internal and external appointments, confirming meetings, coordinating with other assistantsManaging global travel planning, scheduling and itinerariesUpdating and maintaining travel spreadsheet and organizing trip packets for travelOverseeing and planning weekly and monthly meetingsLiaising with other organizations for scheduling and projectsAnswering calls and acting as a gatekeeperActing as back-up support for other senior professionalsBooking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor systemCompleting detailed corporate expenses including tracking receipts and reimbursementsCoordinating travel arrangements, including flights, visas/passports, cars, hotels, and other reservationsMaintaining and organizing filesWorking on ad hoc projectsBlackstone seeks to hire individuals who work well in a team-driven working group, are highly motivated, intelligent, have sound judgment and have demonstrated excellence in prior endeavors.The successful candidate should have:1+ years of administrative assistant experience supporting a team of two or moreExperience working within Financial Services is preferredThrives in a dynamic work environmentStrong communication skillsHighly organized with strong attention to detailAbility to multi-task and prioritize competing tasks and deadlinesAbility to be proactive and work well within a team and with other assistantsAbility to work with various levels of managementPerform duties with the highest level of confidentiality and have a strong sense integrityExperience with coordinating travel arrangementsAn autonomous work style with strong follow-through skillsAbility to build relationships with key players and managementStrong Microsoft Office skills (including PowerPoint, emphasis on Outlook and Excel)Familiarity with Concur is preferredExperience with Amex Travel a plusThe duties and responsibilities described here are not exhaustive and additional assignments, duties, or responsibilities may be required of this position. Assignments, duties, and responsibilities may be changed at any time, with or without notice, by Blackstone in its sole discretion.Expected annual base salary range: $70,000 - $130,000Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location.
