Administrative Assistant to the Superintendent
Job Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Candidate MUST be able to uphold the highest levels of confidentiality across all areas of
responsibility.
1. Administrative support to the superintendent:
a. Interact with board and community members, families/caregivers, legislators, and the
media regarding school district and school board issues.
b. Exercise independent judgment and bring issues to the immediate attention of the
superintendent or administrative staff.
c. School Board functions: maintain calendar, prepare meeting packets, agendas, and board
reports, and ensure receipt of such by school board members in advance of meetings;
ensure proper warning of all board meetings in accordance with public meeting law;
assist in orienting new school board members to the school district; attend bi-monthly
board meetings, either on-site or virtually, and prepare and post meeting minutes;
maintain school board policy book.
d. Human resource functions: all employee contract preparation, initiate and track
teacher licensure, onboard new employees, process employee changes, and audit course
credit and workshop participation, process requests for salary movement, monitor
employment application process through SchoolSpring.com.
e. Open enrollment: prepare employee materials, support the benefits department during
annual initiative.
f. Annual report: compile data, proofread, publish the annual report in advance of district
annual meeting.
g. Ensure federal and state compliance through quarterly, annual, and union reporting;
coordinate elementary transfer program; track home school student numbers from
Agency of Education.
h. Process, organize, review criminal record checks per Agency of Education
requirements.
i. Screen substitute candidates, track training.
2. Clerical tasks and duties such as, but not limited to:
a. Front office activities: greet visitors, answer phone, respond to routine questions,
assist in planning of district-wide events.
b. General office tasks and assignments: correspondence, minutes and reports,
personnel files, prepare ads for publication filing, copying, faxing, sorting and
distributing office mail.
3. Other duties as assigned.

Education and/or Experience: High school graduate or equivalent plus two years'
related experience or training. Associate's degree in a related field is preferred.
Language Skills: Ability to read and interpret documents; to develop and write routine
and complex reports and correspondence; to communicate clearly and concisely both
orally and written, with employees the school community and the general public.
Math Skills: Ability to calculate figures and amounts such as discounts, interest,
proportions, percentages, area, circumference, and volume; ability to apply concepts of
basic algebra and geometry.
Reasoning Skills: Ability to solve practical problems and deal with a variety of variables;
ability to interpret instructions furnished in written, oral, diagram, or schedule form.
Other Skills and Abilities: Must have strong communication, computer and interpersonal
skills; ability to learn and utilize new technologies as systems develop or change; above
average typing skills (at least 55 words per minute); ability to apply knowledge of current
research and theory in specific field; ability to establish and maintain effective working
relationships with students, staff and the school community; ability to perform all duties
with awareness of school district requirements and school board policies.
