POSITION PURPOSE & SUMMARY :
As the janitorial division of TVW, Inc. Sustainable Cleaning Systems has supported work opportunities for individuals with disabilities in Oregon for over 20 years by providing janitorial, hard floor & carpet cleaning positions. MAIN RESPONSIBILITIES
1. Directly support Division Manager & Executive Director, in coordinating projects related to the janitorial office and daily operations
2. Under minimal supervision and guided by TVW’s values and policies the Project Coordinator will perform a variety of routine and complex administrative duties requiring a thorough knowledge of organizational procedures and policies.
3. This position requires the ability to work independently, and interdependently, and exercise judgment and initiative in line with our organization’s values and policies while working with internal and external contacts
ADDITIONAL RESPONSIBILITIES
1. Provide Coverage Assistance for Division Manager when on vacation.
2. Assisting with Cost Work Books & Bid Packets and competitive solicitation processes.
3. Prepare Monthly Progress Reports for Upper management for Quality Assurance reviews and employee reviews.
4. Directly responsible for all follow-through of Quality Assurance reports and preparing reviews for supervisors and emailing them. Keeping track of employee anniversary dates.
5. Actively Responsible for all the maintenance schedules and upkeep of the janitorial location, fleet, and equipment. Which includes daily walkthroughs of janitorial offices and storage arrangements.
6. Responsible for the Janitorial office inventory and the coordination of ordering with the bookkeeping staff.
7. Following up with management to ensure policy adherence, and confirming vacation requests and time off are followed up via Operations and Supervisor. Ensuring that timely responses to employees are provided within policy timeframe.
8. Assist with training new hires on janitorial-related policies and paperwork.
9. Provide direct assistance, support, and coordinator for Janitorial Division Manager (D.M.) in the following areas.
A. Email and Voicemail support. Read, organize, and respond to D.M.’s emails in a timely and professional manner. Work with D.M. to respond to and follow up on all email needs. Ensure communication happens and needed outcomes occur.
B. Keep the calendar current and organized. Provide reminders to D.M. of upcoming meetings, deadlines, and other important events. Some examples are birthdays, review reminders, inventory, Board reports, etc. Assist the Division Manager in completing projects before deadlines.
C. Screen physical meetings, calls, or requests of D.M. between the hours of 3 PM to 5 PM daily. Supporting D.M.’s uninterrupted paperwork time and conducting the business of running the division.
D. Update periodic board and complete nightly floor crew work orders.
REQUIREMENTS
1. Must be able to perform administrative work requiring independent judgment with speed and accuracy.
2. Must learn, interpret, and apply organizational policies, laws, rules, and regulations.
3. Ability to maintain confidential records and information.
4. Must take responsibility for the compilation and organization of reports, composing correspondence on own initiative.
5. Must type accurately from a clear copy at 55 words per minute.
6. Must make mathematical calculations with accuracy, checking as working as you go.
7. Must meet the public tactfully and courteously and answer questions in person, over email, text, and by phone.
8. Must be able to work in a team environment, and be a contributing member.
9. Must be able to communicate effectively with internal and external customers.
10. Work independently and effectively with other employees.
11. Must have Intermediate to Advanced skills in MS Office (Excel, Word, and Outlook)
12. Bi-lingual preferred but not required.
13. Minimum of 2-4 years of office experience.
14. Proficient in Word & Excel.
15. Knowledge of: Correct English usage, grammar, spelling, and punctuation
16. Knowledge of modern office procedures, equipment, and filing systems.
17. Business letter, report writing, proofreading, and statistical record keeping.
18. Previous management responsibilities.
EDUCATION / EXPERIENCE REQUIRED
1. Minimum of 2-4 years of office experience.
2. Proficient in Word & Excel.
3. Knowledge of: Correct English usage, grammar, spelling, and punctuation.
4. Knowledge of modern office procedures, equipment, and filing systems.
5. Business letter, report writing, proofreading, and statistical record keeping.
6. Previous management responsibilities.
