Transportation Time and Attendance Processor, Bilingual/Spanish Required

Job Title: Transportation Time & Attendance Processor Department: Transportation Classification: IIIA Reports to: Director of Transportation FLSA Status: Non-Exempt Job Summary: The job of "Transportation Time & Attendance Processor" is done for the purpose/s of preparing preliminary reports/time sheets/spreadsheets, etc. for the Transportation department and appropriately disseminating this information to District personnel and transportation staff. Essential Job Functions: Informs transportation personnel and provides field support regarding required documentation and/or procedures to convey information necessary to District Human Resources and Payroll Departments. Prepares documentation and reporting to provide contract hours’ information for bus drivers for budgeting and for accurate reporting of annual leave accruals. Research discrepancies of transportation staff payroll information provided to District Human Resources and Payroll Departments. Assists transportation personnel in providing accurate timecard information. Orients new transportation personnel regarding department timecard and leave procedures. Processes transportation timecard and leave information (e.g. time sheets, contract hours, leaves of absence) for review by the Director of Transportation and submittal to Human Resources and District Payroll departments via appropriate systems (iVisions and time-keeping software). Composes and processes documents and materials (e.g. correspondence, schedules, reports, etc.) to communicate information to District personnel. Administers assigned programs and projects (e.g. leave requests, departmental filings, etc.) submitted by drivers to comply with contractual obligations, district policies, and/or state wage and hour guidelines. Dispatches and receives information via two-way radio to share routine and safety information with transportation employees. Responds to inquiries of staff, the public, parents and/or students (in person or by telephone) for the purpose of providing information and/or direction as may be required. Bilingual/Spanish speaking ability to communicate with the public, parents and/or students (in person or by telephone) for the purpose of providing information and/or direction as may be required. Other Job Functions: Assists other personnel as may be required to support them in the completion of their work activities. Participates in various activities (e.g. meetings, trainings, etc.) to receive and/or convey information. Qualifications: Experience Required: Prior related office experience preferably in a school and/or public setting. Skills, Knowledge and/or Abilities Required: Skills to: operate standard office equipment including fax, copier, scanner, etc.; use Microsoft Office Suite of applications including Word and Excel, Internet based software, and Outlook email with advanced level of computer literacy and accuracy; communicate clearly both orally and in writing in English using correct spelling, grammar and punctuation; complete basic math computations/calculations, including time conversions. Knowledge of: rules and regulations, contractual provisions, and district policies regarding transportation, time and attendance, recordkeeping and records retention, Ability to: work independently and in a team environment; interact with a diverse group of individuals in a courteous and tactful manner; establish and maintain effective working relationships; handle issues and stressful situations tactfully; apply pro-active problem solving skills; maintain confidentiality; make common sense decisions in potentially critical situations. understand and carry out oral and written instructions; effectively prioritize and organize daily, weekly, monthly, quarterly, and annual tasks to ensure tasks are completed and deadlines are met. Significant Physical Abilities include: ability to sit for prolonged periods, reaching/handling/manual dexterity, talking/hearing conversations and other sounds, near/far visual acuity/depth perception/visual with or without accommodation. Education and Training Required: High School diploma or equivalent. Licensing/Special Requirements: Oregon Fingerprint and Criminal Check clearance. Calendar: 12-month, 260 work day, 8 hrs per day
