District Office Central Registration Receptionist
This is a full-time (260-day) District Office Central Registration Receptionist which falls under the Support Staff contract. This position will begin on or after June 22, 2026.ResponsibilitiesThe District Office Central Registration Receptionist is an organized and detailed-oriented individual. This role performs duties associated with student registration, maintaining the student information system and involves a variety of administrative tasks including handling incoming calls, preparing and sorting mail, coordinating service requests, and supporting general office functions. The District Office Central Registration Receptionist will be proactive, able to multitask, and committed to supporting the smooth operation of Central Registration and the District Office.Job OverviewThe Palmyra Area School District is seeking a District Office Central Registration Receptionist for our District. This position works 260-days (year-round) per year. Here are some of the essential job duties and functions:Student Data and Enrollment:Manage the full lifecycle of student records, from initial registration and PASecureID generation to elementary class list preparation and records transfersManage student data in the district information system (PowerSchool)Support enrollment processes and interdepartmental communicationProcess student transfers and maintain accurate records including reconciling and distributing reportsCompliance and Child Accounting:Assist in maintaining data for district-of-residence determinations and various student enrollment categories (e.g., foster, IU, tuition waiver)Ensure the District remains in compliance with state and federal regulations by maintaining accurate data for mandates (e.g., NCLB, PDE reporting) and specialized student placementsContinue to update and understand Federal, State and District requirements related to student registrationReception & Call Management:Handle incoming calls to the operator, direct calls as needed, and provide a courteous and professional response to all inquiries.Serve as the first point of contact for visitors and ensure all visitors are appropriately signed in and directed.Mail Management:Prepare outgoing mail, including bulk mailings, and ensure it is sent out in a timely manner.Sort and distribute incoming mail to the appropriate staff and departments.Service & Maintenance Coordination:Contact service/maintenance providers for any required repairs or servicing of office machines and equipment, ensuring minimal downtime.Correspondence & Documentation:Prepare and respond to general correspondence as needed, ensuring clarity and professionalism.Assist with copying extensive projects or documents when required.Administrative Support:Respond to phone calls and inquiries, providing information or directing them to the correct department.Review Act 80 forms (Department of Revenue tax information) and ensure all documentation is up-to-date.Monitor deadlines for all assigned tasks, notifying the supervisor of any issues that may cause delays.Scheduling & Calendar Management:Maintain the PASD facility calendar, ensuring that all events and appointments are accurately scheduled and updated.Billing & Invoicing:Invoice outside groups for "use of facility" charges and ensure accurate tracking of payments.QualificationsHigh school diploma or equivalent required.Administrative or office experience is strongly preferred.Proficiency in Microsoft Office Suite, Google Workspace, etc.Excellent organizational, written, and verbal communication skills.Ability to work independently, multitask, and manage time effectively.Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.Strong attention to detail and a proactive approach to problem-solving.Additional InformationWorking hours for this position are 7:30 AM - 3:30 PM, Monday - Friday.During the summer the working hours are 6:00 AM - 4:00 PM, Monday - Thursday.Minimum starting rate of $18.27, midpoint $23.35, and maximum $28.42 per hour credit will be given for relevant experience.If you do not have direct experience in schools, the highest starting rate will be $23.35 per hour.District paid health benefits - medical, dental, and vision insurance.Paid holidays, sick, vacation, and flex days based upon contract.Interested in applying for this position?Submit your application at https://www.applitrack.com/palmyra/onlineapp/ OR email your cover letter and resume to HR (listed below.)
