This role serves as a key operational partner to the existing Lead Coordinator, supporting the sales and service teams through proposal coordination, lead management, customer communication, and administrative support.The ideal candidate thrives in a fast-paced environment, communicates professionally with internal teams and customers, and can manage multiple priorities with urgency and accuracy.Duties & ResponsibilitiesConvert costing data into formal client proposals/quotesSend quotes to customers and follow up for receipt/approvalManage incoming replacement/PM leads and distribute to sales teamServe as backup for incoming commercial phone trafficCross-train on all Lead Coordinator II responsibilitiesSource parts pricing and research warrantiesEnter purchase orders and return ordersOrder and track parts/materialsProcess returns and obtain RMAs as neededAnything else as assigned by the managerQualifications And Requirements2+ years of administrative, coordinator, dispatch, or operations support experience preferredExperience in HVAC, mechanical contracting, construction, service, or trades environment preferredStrong organizational and multitasking abilitiesExcellent written and verbal communication skillsHigh attention to detail and sense of urgencyProficient in Microsoft Office and computer-based systemsAbility to prioritize workload in a fast-paced environmentAll successful candidates must be able to pass the required background check and drug-screen.Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
