Administrative Specialist

Administrative SpecialistThe Administrative Specialist provides highly skilled professional support and performs administrative duties for the Associate and Assistant Vice Chancellors within the Executive Vice Chancellor's office. The Administrative Specialist serves as the first point of contact for office guests and is responsible for ensuring a professional and welcoming environment, overseeing general office management and maintenance functions. The Administrative Specialist is responsible for managing and coordinating multiple calendars for members of the leadership team, scheduling appointments, and assisting with prioritization of requests and re-prioritization when new issues arise. The position manages an array of general office functions and office suite locations, and provides broad support as needed (e.g. event support, special project support, backup to Executive Assistant). The Administrative Specialist provides impeccable client service to a wide range of constituents and guests, including university faculty, administrators, staff, students and alumni, campus guests, and external consultants and the general public. Minimum Required Qualifications: Bachelor's degree plus two years progressively responsible administrative experience or customer relations; equivalent education/experience considered. Demonstrated experience working with high-level administrators and constituent groups. Proficient in relevant software programs, including Word, Excel, Adobe and Outlook. Evidence of excellent communication and organizational skills. Sound judgment and discretion in dealing with sensitive and confidential matters. Possess a strong service-centered philosophy and ability to work independently and effectively as a team member.
