Project Coordinator - Retail Construction
Do you love turning a vision into reality, watching a sketch on paper become a space people will remember long after they leave? Gameway is growing fast, with 14 airport locations across the U.S. and five more on the way! We are looking for a creative, detail-driven *Project Coordinator* to help bring our newest Gameway and Portal Lounge locations to life.
*OUR BRANDS, OUR MISSION*
Gameway is making airports more entertaining. Through our two brands, Gameway, delivering premium airport video gaming lounges, and Portal Lounge, redefining modern airport common use lounges using technology, entertainment, and elevated experiences, we're transforming the way travelers spend their time.
The Project Coordinator needs to be someone who is curious, exceptionally organized, and serious about follow-through. They will partner with our Design & Construction leadership to coordinate new airport locations, support existing spaces, and build the systems that keep our teams on the same page.
*YOUR MAIN QUEST (WHAT YOU'LL DO)*
* *Build the playbook:* Organize digital files, standards, specifications, vendor information, ordering instructions, approved artwork, and repeatable processes so the right information is easy for anyone to find and use.
* *Catalog every location:* Help develop facilities manuals and asset inventories for both brands, documenting equipment, fixtures, furnishings, signage, finishes, warranties, and replacement information; use floor plans and as-built drawings as source material.
* *Move new locations forward:* Support projects from airport RFP and design renderings through reviews, permitting, construction, opening, and final punch-list completion. Keep schedules, submissions, approvals, and open items organized.
* *Own the follow-through:* Join professional project meetings, including Owner-Architect-Contractor meetings; capture decisions, assign and track action items, confirm deadlines, and proactively follow up with contractors, consultants, and internal teams.
* *Coordinate purchases and deliveries:* Maintain vendor, pricing, inventory, procurement, and purchase-order records; secure required approvals before commitments and track orders, lead times, shipment, and installation.
* *Protect the brand:* Work across Gameway and Portal Lounge to coordinate signage, graphics, displays, branded merchandise, planograms, and physical brand standards, ensuring consistent implementation at each location.
* *Keep locations at day-one standard:* Coordinate facilities tickets, site photos, repairs, warranty items, renovations, and replacement installations. Follow each issue through to resolution and verify finished work against expectations.
* *Communicate:* Provide organized project updates, clearly flag risks or missing approvals, maintain accurate records, and recognize that construction deadlines, instructions, and documentation have real contractual consequences.
*MINIMUM STATS REQUIRED*
* Five (5) years of experience coordinating projects, administrative workflows, vendors, documentation, and multiple stakeholders.
* Two (2) years of experience in store planning, construction, facility coordination or new location development in multi-unit retail restaurants, hospitality, auto dealership or similar environments

* Advanced proficiency in project management platforms (ClickUp, Monday, Jira, Notion, or Smartsheet); Asana preferred.
* Proficiency with PDF/design tools (Adobe Acrobat, Bluebeam, or Canva), site photo annotations, purchasing, store openings, or signage programs.
* Proficiency in Microsoft Word, Excel formulas, and organized digital recordkeeping.
* Exceptional organizational skills, attention to detail, accountability, and consistent follow-through.
* Proactive, process-driven self-starter who takes initiative, understands broader objectives, and adapts quickly to unfamiliar tasks.
* Strong multitasking, prioritization, and time management skills in a fast-paced, growing environment.
* Excellent written and verbal communication, including meeting notes, action logs, and project updates.
* Sound judgment regarding procedures, approvals, and escalation of technical, financial, or contractual matters.
*BONUS XP (PREFERRED, NOT REQUIRED)*
