Case Management Assistant /Receptionist
The Federal Public Defender for the Northern District of California is accepting applications for a full-time Case Management Assistant /Receptionist based in our San Francisco office in providing representation of indigent clients in federal criminal proceedings. This role is instrumental in ensuring the zealous and effective advocacy for our defense efforts, contributing to our mission of upholding the constitutional right to counsel and the inherent dignity of individuals who are accused or convicted of crimes and cannot afford their own lawyer.JOB DESCRIPTIONKey ResponsibilitiesCase Administration: Opens and closes all case files for San Francisco, and Districtwide Central Violations Bureau cases. Analyzes processes for opening, closing, and maintaining case files, and makes recommendations for improvement as needed. Receives, scans, and uploads incoming documents into client electronic case files and the automated case management database as needed. Responsible for reviewing and ensuring accuracy, timeliness, and quality of data entered into the Defender Data case management system. Assists with auditing, compiling, analyzing and maintaining case statistics as needed. Prepares weekly, monthly, quarterly, and annual reports for the Defender regarding staff attorney caseloads. Creates new case files for attorneys and maintains them in accordance with established office policies.Office Administration: The successful candidate will provide a variety of front-desk and clerical support services to office staff. Responsibilities include serving as the primary receptionist, greeting visitors and clients in person and on the telephone. The candidate will also manage archived closed files, both onsite and offsite; archives files to offsite storage as needed or directed. Additional duties include maintaining the copy and file room and coordinating incoming and outgoing mail for the office.Possess basic knowledge of the legal process and legal terminology and knowledge of office practices and procedures. Understands and exercises care regarding attorney/client privilege and confidentiality. Performs all other administrative, clerical and other duties as assigned. Candidates must have excellent customer service skills. The position requires exceptional skills in a wide range of computer applications, e.g., Microsoft Office, Adobe, and database; excellent communication skills (both written and oral); and strong office and organizational skills. The ability to work in a fast-paced and deadline driven environment, and the ability to work both independently and as part of a team is a must.QUALIFICATIONSA minimum of six years of work experience is required, four of which must be in legal related and two in general experience. An applicant must be a high school graduate or equivalent. A variety of prior experience, including in non-legal fields, would be helpful. This position requires considerable initiative, resourcefulness, creativity, and drive. Excellent writing skills, computer proficiency, ability to communicate and work well with others; demonstrated interest in criminal justice and commitment to obtaining justice for indigent persons; and ability to perform each of the tasks associated with this position are required. The successful applicant will possess tact, integrity, and discretion. A valid California driver’s license, car, and appropriate motor vehicle insurance are required. Spanish or other foreign language skills are desired, but not required. This position will have a designated duty station in San Francsico. The position is exempt from the office’s telework policy. Varying work hours, including nights, weekends, and holidays, may be required. Physical Demands and Work Environment: The physical demands for this position are those necessary to successfully perform the essential functions of the job as outlined above. The investigator may occasionally need to lift and/or move up to 25 pounds and may spend extended periods driving or traveling by car or airplane.
