Construction & Facilities Admin Support

Job Overview The Construction & Facilities Admin Support will play a crucial role in supporting the Construction & Facilities Manager. This position will involve a combination of office and fieldwork, by assisting with organizing project documentation, coordinating schedules, and ensuring smooth communication between the corporate office, operations, and contractors. This part time position (20-25 hours per week, Monday-Friday in Office) reports to the Construction & Facilities Manager directly but may be asked to fulfill duties specified by the Chief Operation Officer and Vice President of Operations. Essential Duties and Responsibilities Assist the construction and facilities manager with daily administrative tasks, including filing, data entry, and document management. Prepare and distribute meeting minutes, project updates, and reports. Maintain and organize project and facilities documentation, ensuring all records are current and accessible. Help in scheduling and coordinating contractors, inspections, and facility maintenance activities. Assist in tracking project timelines, budgets, updating subcontractor platform, and progress to ensure that all milestones are met. Communicate with team members, contractors, vendors, and restaurant managers to relay information, updates, and answer questions. Maintain municipality permits are up to date Visit restaurant locations to oversee minor repairs, facility upgrades, and ensure compliance with safety and health regulations. Assist with routine inspections of facilities to identify and address maintenance needs. Coordinate the delivery and installation of equipment and furnishings. Support the construction and facilities manager in client and team meetings, taking notes and ensuring follow-up on action items. Respond to inquiries from restaurant managers and staff regarding facility issues in a professional and timely manner. Other duties as assigned Qualifications High School Diploma or GED equivalent is required, College degree in related field preferred Relevant experiences in construction, project management, or administration, experience in restaurant is a plus Strong organizational skills with attention to details Excellent communication and interpersonal skills Proficient in Microsoft Office (Word, Excel, Teams, Outlook) and Smartsheets Ability to multitask in a fast-paced environment Basic understanding of construction process and terminology is a plus Must be able to work part-time with flexible hours, approximately 20-25 hours per week Must be able to work some weekends or evening hours depending on project needs Candidate must be able to read, speak, and write in English Must have a driver’s license and a clear MVR report INDHEADOFFICE
