Conveniently located off Highway 7, it is a cherished space for residents and visitors alike.Role DescriptionThis is a part-time, on-site role for an Office Assistant at Pagel Activity Center, located in Minnetonka, MN. The Office Assistant will handle daily administrative tasks, manage phone communication, and provide clerical support to ensure smooth operations. The position includes responsibilities such as assisting with office equipment operations, maintaining records, and providing excellent customer service through clear and professional communication. This position serves as the primary point of contact for patrons, user groups, vendors, and staff while assisting with arena scheduling, billing, and general office duties.Essential Duties & ResponsibilitiesAdministrative SupportAnswer phones, respond to emails, and greet patrons in a professional mannerAssist with ice scheduling, reservations, and calendar updatesMaintain accurate records and filing systemsPrepare correspondence, reports, and documents as neededFinancial & Billing SupportProcess payments (cash, check, credit card) using POS systemsPrepare and track invoices for user groups and rentalsAssist with daily cash reconciliation and depositsMaintain accurate financial and registration recordsCustomer ServiceProvide information about programs, ice availability, and eventsAddress patron concerns escalate issues when appropriatePromote arena programs and special eventsOperational SupportCoordinate communication between arena management, maintenance staff, and user groupsAssist with tournament and event preparationMaintain office supply inventory and order supplies as neededSupport compliance with Minnesota safety and facility regulationsQualificationsProficiency in Phone Etiquette and Communication for interacting with patrons and colleagues effectivelyStrong Administrative Assistance and Clerical Skills for managing tasks, organizing records, and supporting office operationsAttention to detail, organizational abilities, and multitasking skillsPrevious experience in customer service, office administration, or a related field is a plusHigh school diploma or equivalent is requiredDependable, professional, and able to work on-site during assigned hoursExperience with recreation management software (e.g. Finnly Sport, RecDesk, ActiveNet, SportsEngine) preferred Experience in parks & recreation, sport facilities, or ice arenas is a plus
