JOB TITLE: Business Support SpecialistSTATUS: Full Time /Non-ExemptREPORTS TO: Business DirectorLOCATION: Child Advocacy CenterDATE: April 9, 2026Salary range: $36,000 - $40,000 annuallyPurposeThe Business Support Specialist is responsible for welcoming all clients and partners to Canopy. This position serves as a key role in setting the tone and experience of Canopy Child Advocacy Center. As the initial point of contact for children, families, partners, stakeholders, and visitors, this position ensures a welcoming, trauma-informed, and professional environment.The Business Support Specialist is responsible for managing all incoming communication to Canopy, ensuring timely and accurate responses, and coordinating the appropriate next point of contact. The Business Support Specialist is responsible for maintaining communication flow, making sure all partners are informed, and that information is current and accessible. Strong customer service, organization, problem solving and communication skills are essential to support the overall operations and coordination of services.Essential Job FunctionsGreets all clients, families, staff, and guests in a warm, friendly, welcoming manner.Daily interaction with children and families while they are at the agency for services.Manages and responds to all incoming correspondence (phone, email, in-person), ensuring timely follow-up and coordination with the appropriate staff or partner agencyMaintains appointment calendar and schedules appointments.Enters referrals into database management system as they are received.Ensures all partners receive up-to-date and accurate information regarding cases, scheduling, and coordination needs.Organizes meeting rooms and maintains schedule availability for each office space and common areas.Explains intake paperwork to clients and uploads completed packets into the data management system. Maintains flow of cases through the agency and ensures data accuracy.Downloads and burns DVDs. Participates in continuous quality improvement efforts and system enhancements.Required QualificationsHigh school DiplomaBasic professional knowledge; equivalent to a Bachelor's degree Must have some experience working with children and familiesDemonstrated ability to manage multiple tasks and prioritiesMust have excellent computer skills, experience with databases, spreadsheets, and graphs, and above average knowledge of Microsoft Word, Excel, and other related software programKnowledge, Skills, Abilities And Personal CharacteristicsMust operate effectively as part of a team and the ability to communicate information effectively Excellent inter-personal and inter-cultural skills.Experience in and commitment to building and supporting trauma-informed organizationsCommitted to equity, inclusion, and advocacy.Excellent organizational skills, highly detail oriented, and/or analytical.Ability to initiate and complete multiple tasks on timeAbility to incorporate values of shared responsibility; open, honest, and direct communication; respect for others and celebration of diversity into assigned duties.Ability to maintain professionalism, confidentiality, and sensitivity in all interactionsPhysical And Mental DemandsCommunicate with others in person, electronically or by phone on a consistent basis.Ability to manage a high level of interaction and coordination throughout the dayMust be willing to work evening hours as scheduled.Regular and predictable attendance
