Our events range from intimate member gatherings to large-scale signature productions that connect sponsors, partners, and thought leaders across the region.About the RoleWe are looking for an organized, enthusiastic Event Coordinator to join our team and support the full lifecycle of ThinkLA’s events portfolio. This role reports directly to the Director of Events and Programming to ensure flawless execution across all event types, from intimate networking gatherings to large signature events.This is a great opportunity for someone with 1–3 years of event experience who is ready to grow their career and is excited to contribute to high-quality, high-impact experiences for the Southern California marketing community. This role is designed to grow: the coordinator will begin by supporting events across the portfolio and progressively take ownership of smaller-format events under the mentorship of the Director of Events and Programming.ResponsibilitiesPre-Event PlanningResearch and recommend venues appropriate for each event type and expected attendanceCoordinate venue walkthroughs and site visits with the Director of Events and ProgrammingSolicit, review, and manage vendor proposals for catering, AV, photography, florals, decor, and entertainmentDraft and track vendor contracts and certificates of insuranceCreate and distribute event briefing documents for internal staffCoordinate speaker and panelist logistics across brunches, summits, and signature events, including bios, headshots, travel needs, and run-of-show prepSupport event committees and councils, by scheduling meetings, preparing agendas, capturing action items, and following up with members on deliverablesUtilize Canva and design platforms to assist with event collateral including signage, programs, name badges, and printed materials in conjunction with the Event SpecialistBuild and maintain run-of-show documents, production schedules, and event timelinesAssist the Event Specialist in producing name badges, seating charts, and check-in materials for each eventCoordinate event signage from design through proofing, printing, and on-site placementTrack responsibilities and deadlines across multiple concurrent events using the team’s project tracking toolsDay-Of ExecutionCo-lead event production on-site alongside the Events Team, including load-in, vendor management, run-of-show execution, and load-outExecute the run-of-show in coordination with the Events TeamTroubleshoot day-of issues with vendors, venue staff, and attendeesCoordinate speaker and panelist arrivals and green room setupPost-EventCollect and organize vendor invoices and submit for payment processingGather attendee feedback and summarize findings for the Director of Events and ProgrammingMaintain organized digital files for all event contracts, vendor contacts, and run-of-show documentsSupport post-event wrap-up reporting, including compiling attendance, survey results, and recaps for the Director of Events and Programming and leadershipDraft thank-you communications to speakers, sponsors, and vendorsOrganize and archive event photography and final assetsWhat Success in this Role Looks LikeEvents run on time, on budget, and without operational issuesStrong vendor relationships and seamless coordinationPositive attendee and speaker experiencesWell-organized documentation and post-event reportingProactive communication and problem-solvingOver time, assigned small events are led independently and executed successfullyRequirementsMandatory1–3 years of experience in event coordination, event planning, or a related roleStrong organizational skills with exceptional attention to detailAbility to manage multiple events and deadlines simultaneouslyExceptional professionalism, poise, and diplomacy, with the composure to build trust and communicate effectively with senior executives and sponsorsExcellent written and verbal communication skillsComfortable working both independently and as part of a collaborative teamProficiency with standard office tools (Google Workspace and Microsoft Office) and comfort learning event and project platforms such as Airtable, Canva, Box, and Campaign MonitorAbility to work early mornings and/or evenings as required for events (eligible for approved overtime as a non-exempt role)Must be based in or willing to commute to the Los Angeles areaPreferredExperience working in or familiarity with the Southern California marketing, advertising, or media industryDesign skills using Canva or similar tools, along with familiarity with email marketing platforms such as Campaign MonitorWhat We OfferSalary of $55,000 annually Health insurance benefits401(k) retirement plan and contribution matchHybrid work scheduleExtra week of paid time off between Christmas and New Year’sA collaborative, supportive, and mission-driven team environmentOpportunities for professional growth within a growing organizationThinkLA is an equal opportunity employer.
