Work involves screening and independently handling a variety of routine inquiries by telephone and in-person visitors, providing clerical program support to the 4-H, Family & Consumer Sciences Agents, County Extension Director and Master Gardener Volunteers. Performs various routine day-to-day operational tasks of the office. Required to learn and use basic media platforms, WordPress, PowerPoint, Publisher, and social media outlets in assistance of the office. Works under general supervision of the County Extension Director and works closely with the Office Manager.NOTE:These essential job functions are not to be construed as a complete statement of all duties performed. Examples of DutiesESSENTIAL RESPONSIBILITES:1.)This is a part-time position with the incumbent working an estimated 5 hours/ day, 25 hours/week. Specific days and times to be determined by incumbent and supervisor.2.)Acts as office receptionist, answers telephone, takes messages and routes messages. Greets, announces, and routes visitors to appropriate agents and/or other staff members.3.)Maintains electronic calendars as necessary.4.)Provide administrative assistant program support to the 4-H, Family & Consumer Sciences Agents, County Extension Director, Master Gardener Volunteer Program, and Extension Volunteers. Clerical work activities include data entry, basic website editing, social media management, and other assigned duties.5.)Occasionally processes outgoing/incoming mail. Most of the mail is time sensitive and must be processed in a timely manner.6.)Update the UF/IFAS Extension website (TerminalFour); create and schedule social media posts for each Extension program; ensure branding guidelines and UF/IFAS policies are followed in all digital content.KNOWLEDGE, SKILLS, and ABILITIES:• Ability to learn programs offered by the University of Florida IFAS/Wakulla County Extension Service; website-based software program (TerminalFour - non-technical).• Experience with a variety of Microsoft Office Suite programs (general knowledge of Word, PowerPoint, Publisher, Excel, etc.).• General knowledge to interact, maintain and analyze separate social media outlets for each Extension program.• General knowledge of various sections of office operations.• Strong user of automated-system skills; word processing, electronic mail, phone systems, and imaging documents.• Ability to screen communications and, based on content, handle independently or route to proper source.• Ability to be a self-starter and work independently to handle requests for information from a variety of sources. • Ability to be a team player and work with all programs offered through University of Florida IFAS/Wakulla County Extension Service.• Ability to understand and follow simple oral and written instructions.• Ability to communicate effectively orally and in writing.• Ability to exercise good judgement.• Ability to multi-task.• Ability to exercise tact and courtesy in frequent contact with clientele.• Ability to establish and maintain effective working relationships as necessitated by work assignments.Typical QualificationsEDUCATION, TRAINING, and EXPERIENCE:Must be 18 years of age, a high school graduate, and have at least 3 years of office experience or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities. Must have a working knowledge of general office equipment including computers, copiers, and printers. Must be proficient in Microsoft Office Suite programs (Word, Outlook, Excel, Publisher, etc.). Knowledge of basic graphics, WordPress, and general website editing are a plus. Knowledge of social media preferred. Must be able to learn other software applications as needed.
