Admin Representative
Job Summary:The Admin Representative is responsible for performing daily and weekly audit functions across assigned operational areas. This role focuses on reviewing transactions, documents, and processes to ensure accuracy, completeness, and compliance with internal procedures. The position supports key operational divisions and requires strong attention to detail, consistency in reporting, and the ability to identify discrepancies and process gaps. This role serves as a quality safeguard across operational divisions, ensuring that errors are caught early and processes continue to improve.
Key Duties and Responsibilities:
Audit and Verification
Perform daily and weekly audit tasks across assigned operational areas
Review and verify transactions, records, and supporting documents for accuracy and completeness
Conduct audit checks and reporting using internal systems and tools
Monitor and audit processes related to:
Daily financial and transactional records
Inventory and asset documentation
Logistics, scheduling, and tracking activities
Verification of records across multiple internal systems
Review and validate:
Operational records and supporting documentation
Service-related entries and approvals
Cross-departmental transactions and confirmations
Identify discrepancies, inconsistencies, or missing information and escalate as needed
Ensure accuracy and attention to detail in all audit work
Operational Processing and Recordkeeping
Execute assigned administrative and operational tasks accurately and on schedule
Maintain and update records, logs, and supporting documentation
Coordinate with internal teams to ensure timely completion of recurring administrative duties
Maintain working competency across multiple Admin functions to ensure division coverage
Complete assigned mini-tasks on or before deadline, and contribute to the creation, revision, and maintenance of SOPs
Manage assigned inquiries through to resolution within established response time standards
Work independently while coordinating with relevant departments as needed
Continuous Improvement and Compliance
Review processes to identify gaps, inefficiencies, or recurring issues
Communicate findings clearly and follow through on corrective actions
Proactively identify and address issues before they escalate
Maintain confidentiality of audit findings and sensitive operational data
Qualifications:
Strong attention to detail and accuracy
Strong punctuality and reliability
Experience working with SOPs (Standard Operation Procedures)
Ability to manage multiple tasks and prioritize effectively
Proficiency in Excel and/or Google Sheets (data tracking, basic analysis)
Ability to review processes and identify gaps or inefficiencies
Strong critical thinking and problem-solving skills
Strong written and verbal communication skills
Proactive mindset
Comfortable asking questions and challenging inconsistencies
Team-oriented with the ability to work independently
Ability to follow tasks through to completion
Must be able to meet scheduling and availability requirements for the role
