This position plays a vital role in supporting our Preconstruction team and helping ensure projects are set up for success long before construction begins.While the primary focus of this role is supporting estimating and preconstruction efforts, there may be opportunities to assist Operations teams with project coordination and administrative support as business needs arise.If you thrive in a fast-paced environment, enjoy keeping things organized, and take pride in supporting a team behind the scenes, we'd love to hear from you.Estimating & Preconstruction Responsibilities Assist with the scheduling and coordination of project estimates and bid submissionsReceive, manage, and track quote requests, Requests for Information (RFIs), addenda, and other bid-related documentationCreate and maintain project folders, bid calendars, internal tracking logs, and estimating documentation from bid initiation through project handoffResearch project leads and enter data into internal databases and tracking systemsContact subcontractors and vendors for pricing, bid participation, and coordination on active opportunitiesMaintain subcontractor and vendor databases to ensure information remains accurate and up to dateCoordinate and prepare bid bonds, insurance documentation, and other preconstruction-related documentsPrepare and distribute time-sensitive bid materials and Owner/GC contract documentationUpdate project forms and tracking documents throughout the preconstruction cycleAssist with prioritizing multiple bid deadlines and coordinating time-sensitive deliverablesCoordinate with internal departments to support a smooth transition from preconstruction to operationsProject Coordination Support Provide administrative support to Project Managers and Operations teams on active projectsAssist with project setup, document management, and maintenance of project filesCoordinate project-related meetings and distribute meeting agendas and notes as neededTrack submittals, RFIs, permits, and other project documentationAssist with preparation and distribution of project reports, logs, and closeout documentationCoordinate communication between project teams, subcontractors, vendors, and clients to support successful project executionSupport project teams with miscellaneous administrative and coordination tasks throughout the project lifecycleGeneral Responsibilities Provide professional and prompt communication with subcontractors, suppliers, clients, and internal team membersAnswer phones and assist with additional administrative duties as neededChampion Ratcliff's Core Values and Four PillarsPerform other duties as assignedWhat We're Looking For 3+ years of experience in construction administration, estimating support, project coordination, or a related role preferredCommercial construction experience strongly preferredAbility to navigate and review construction plans and project specifications, identifying and communicating relevant information is a plusStrong organizational skills with the ability to manage multiple priorities and deadlinesExceptional attention to detail and follow-throughStrong verbal and written communication skillsAbility to effectively support both preconstruction and operations teams as workload demands shiftTeam-oriented mindset with the ability to work independently when neededService-minded, proactive, and professional approach to daily responsibilitiesProficiency in Microsoft Office Suite, particularly Word and ExcelFamiliarity with Bluebeam, CMiC, or similar construction software is a plusExperience with Adobe Creative Suite, Canva, or similar design software is a plusPhysical Requirements General office demands, including prolonged sitting and computer useOccasional driving for industry events, jobsite visits, or business-related errands may be requiredWhy Ratcliff?
