Service Coordinator

Established from part of the Caterpillar mining group, CB Mining has grown from 2 locations in Washington, PA to now 4 locations, with additions in Marion, IL and Tuscaloosa, AL, We provide customers with rebuild services, CST gearbox rebuilds, welding and fabrications services, service exchange units, custom made cabling solutions, life cycle services including oil sampling and vibration analysis, robust inventory support, compatibility services and underground technical support. We also provide extensive machining, chroming, laser cladding, and hydraulic repairs through our valued partner Cleveland Brothers. Position Summary: Under general direction of supervisor(s) this position provides support services to the employees, managers, and customers by ensuring the efficient flow of documentation and supplies from various sources. Primary Responsibilities: Open & close master and sub work orders Enter time into Time Collection System and prepare and process required paperwork Order shop supplies as required. Verify, record, maintain, & submit specific service shop records Substitute for other positions and other functions as assigned by necessity Enter personnel time into the time collection system and generate all required paperwork Generate internal, monthly, master and sub-work orders as well as purchase orders for repairs on all equipment of the various product lines Research part numbers from supplier database, and computer inventory records for purpose of quoting or ordering for the work order. Compile and send weekly reports of open work orders to responsible managers. Review rebuild BOM's and work with CB Mining warehouse to stock & stage parts. Initiate progress payment invoices as required for major rebuild projects. Keep logs of subcontracts, customer calls, and parts required, including work order additions outside scope of the customer orders. Compile reports on service employee's hours, repair time on customer equipment, and other related reports. Provide and maintain all shipping documents and locations for equipment leaving Distribute vendor invoices to appropriate personnel Verify and sign off on all vendor invoice pricing Assist in warranty claims and credit unused or defective parts against work orders Assist CB Mining Quality & Technical Services department with placing outside vendor work orders and expediting. Schedule repair work in absence of service managers Receive payments and credit to work order when completed Perform other work-related duties as required Skills / Knowledge / Qualifications: Thorough understanding of shop practices and procedures focusing on work order Knowledge of product and parts. Working skills in researching and ordering of parts coupled with computer supported clerical ability. Proven ability to organize and prioritize work based on time management. Strong communication skills for dealing with customers and fellow coworkers. Basic computer skills in MS Office, including Excel and Word. Experience in work order and timekeeping management with DBS or similar systems. Three years clerical experience in a service shop demonstrating increased responsibility and having significant exposure to the repair shop environment, or an equivalent combination of training and experience acceptable to the company.
