Front Desk Receptionist
POSITION SUMMARY
The Front Desk Receptionist position is responsible for performing a variety of administrative tasks within an office setting to support daily operations. Their duties can include answering and directing phone calls, assisting vendors, clients and employees, sorting and distributing mail, and greeting visitors and guests. This position will assist with a variety of general office activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsible to welcome/greet visitors and guests, determine nature of visit and notify appropriate personnel.
Answer Company phones, determines purpose of calls/callers’ needs and direct caller to appropriate personnel or department. Is responsible for the business phone account.
Responds to queries and other requests via e-mail and telephone in a timely manner.
Must assist all clients, vendors, employees and others with exceptional customer service.
Ensures office procedures are followed and maintained.
Receives, sorts, and distributes mail. Assist with outgoing mail as necessary.
Assists with overnight shipping vendors and supplies.
Responsible for office supplies by maintaining inventory, placing and receiving orders.
Assists Payroll with weekly timesheet audit for field labor. Identifies time discrepancies in the field labor timesheets and works with Foreman/Superintendent to resolve issues.
Assists Accounting department with data entry for accounts payable.
Performs other clerical and administrative duties as needed.
Build and develop trusting relationships with current customers and seek to identify opportunities to grow our customer base and build positive relationships.
Other job-related tasks as assigned.
EDUCATION, QUALIFICAITONS, AND/OR
High school diploma or general education degree (GED); three to five years’ experience; or equivalent combination of education and experience.
Excellent written and oral communication skills
Excellent interpersonal and organizational skills
Excellent phone etiquette skills
Ability to complete assigned tasks, meet deadlines and handle multiple priorities effectively
Ability to work independently.
Ability to present a professional appearance
Must have proven ability to be punctual and dependable
Proficient using Microsoft Office and other office equipment
Bilingual (English/Basic Spanish) a plus
