Program Operations Coordinator
County Corp is a private, non-profit affordable housing provider for the residents of the Greater Miami Valley region. Our mission is to provide affordable housing and economic opportunities. While we are a relatively small organization, we are mighty in the positive impact we have on the clients and communities we serve. We co-locate with the Montgomery County Land Bank and the Homeownership Center of Greater Dayton.
In addition to providing housing, home repair, new construction, and rehab services to our clients, we also manage a U.S. Department of Labor Grant called YouthBuild. YouthBuild is a college and career preparation program that focuses on opportunity youth ages 16 - 22. Utilizing classroom and hands-on experience, eligible youth are provided opportunities to enter career pathways such as construction, manufacturing, and healthcare.
We are looking for a Program Operations Coordinator
Essential Functions
Track participant attendance and report non-attendance concerns to appropriate program staff.
Track and submit YouthBuild participant and WIOA timesheets in accordance with established procedures.
Monitor and track participant stipends in compliance with stipend policies and procedures.
Track, distribute, and maintain records related to participant transportation assistance including bus passes.
Collect and review monthly summaries and supporting documentation for completeness and accuracy.
Monitor completion of SBIRT pre- and post-evaluations.
Monitor Individual Service Plans (ISPs) for completion at required benchmark periods including pre-, mid-, and end-of-program reviews.
Assist with distribution of participant checks and related documentation.
Assist participants with enrollment paperwork and intake documentation for both YouthBuild and WIOA programs.
Collect Measurable Skills Gains (MSGs), certifications, and credential documentation and maintain related participant tracking spreadsheets while sharing required information with WIOA partners.
Monitor participant case notes to ensure documentation compliance and completeness.
Audit placement documentation to ensure accuracy and alignment with program requirements.
Conduct routine participant file audits to maintain compliance with grant and program regulations.
Maintain and update the program website and related digital communication platforms.
Develop, organize, and manage program marketing materials and outreach content.

Strong attention to detail and ability to maintain accurate documentation and records.

Proficiency in the use of technology including spreadsheets, databases, and web-based systems.
Experience with data tracking, compliance monitoring, and file management preferred.
Ability to work collaboratively with staff, participants, and community partners.
Passion for working with and supporting youth of various social, educational, and economic backgrounds.
Willingness to go “above and beyond” to support participants in achieving progress in all areas.
Commitment to continued personal and professional growth.
Associate’s degree preferred; relevant experience may be considered in lieu of degree.
Working Environment
· The usual and customary methods of performing the functions required include the following physical capabilities: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. The responsibilities outlined above are performed in a generally clean and healthy office and educational environment.

Pay: $50,000.00 - $55,000.00 per year
