Job Description Administrative Services Coordinator$26-27/hr. (contract to hire) Essential Duties and Responsibilities:· Provide administrative support services for Director, Travel & Events including but not limited to:Coordinate internal meetings including room space, set-up, food and beverage services, and overall on-site set-up and support during meetings.Provide catering services as directed. Provide services for catering supply orders as directed.Provide miscellaneous sourcing for meeting and catering supplies and equipment as needed.Provide travel services as directed.· Provide administrative and support services to the Management Services Specialist and complete all tasks assigned.· Provide administrative and support services to the Office Services Division including but not limited to:Initiate and process Purchase Orders as needed.Coordinate equipment maintenance and repair for kitchen and catering, and the print shop and mail room equipment.Provide backup services in the print shop and mail room including incoming mail distribution, the preparation of outgoing mail, and copy and printing services, when needed.· Perform FOB activations, deactivations, and report generation as necessary.· Initiate and maintain requests for building services and supplies.· Maintain duplicate keys for all doors and furniture.· Provide back-up services for reception functions as needed.· File, photocopy and fax as needed.· Maintain a high level of service to clients, members and internal staff.· Additional duties and responsibilities as required. Requirements:A minimum of 3 years' experience in office administration.Working on-site 5 days a week in a professional office setting.Demonstrated maturity, diplomacy and excellent people skills. Ability to maintain confidentiality.Demonstrated proficiency in software applications including but not limited to Microsoft Office365 and Adobe.Demonstrated technical ability to learn new software programs as needed.Strong verbal and written communication skills.Strong organizational skills with an excellent attention to detail.Professional and service-oriented demeanor with the ability to interact and work with a variety of personalities.Ability to multi-task and handle multiple projects simultaneously.
