Scope
MAIN FUNCTIONS
Provides high-level administrative support to business unit executives, leadership teams, and site-level operations. This role requires strong organizational skills, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced environment.
TASKS AND RESPONSIBILITIES
Manage executive and leadership team calendars, ensuring alignment with priorities and deadlines
Coordinate internal and external meetings, including logistics such as conference rooms, catering, and visitor access
Arrange complex travel plans, itineraries, and reservations
Prepare meeting materials including agendas, reports, presentations, and supporting documents
Take meeting minutes and track action items
Research and prioritize incoming issues and determine appropriate actions or responses
Handle competing priorities with urgency and professionalism
Support expense reporting and reconciliation
Order office supplies and materials as needed
Maintain and update organizational charts, flowcharts, and contact lists
Manage SharePoint access requests
Support special projects from conception to completion
Perform additional administrative duties as assigned
REQUIRED / PREFERRED QUALIFICATIONS
Strong proficiency in Microsoft 365 (Word, Excel, PowerPoint, OneNote, SharePoint, Copilot)
Experience with tools such as Zoom, Emburse (expense reporting), TripSource (travel booking), and Smartsheet preferred
Highly organized with strong attention to detail
Ability to manage multiple tasks and shifting priorities
Strong communication skills with the ability to interact across all levels of the organization
Professional demeanor with ability to handle confidential information
