The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational abilities and a proactive attitude.DutiesGreet clients, visitors, and vendors with professionalism and warmth, creating a positive first impressionManage multi-line phone systems, taking messages, serving as "gatekeeper", directing calls efficiently and courteously using proper phone etiquetteHandle appointment scheduling, calendar management, and coordinate meetings for attorneys and staffMaintain organized filing systems, perform data entry, and ensure accurate record-keeping using digital tools like MS Teams, Clio, Outlook and Microsoft OfficeSupport office management tasks such as bookkeeping with QuickBooks, invoicing, and basic bookkeeping responsibilitiesAssist with clerical duties including drafting cover letters, proofreading documents, preparing correspondence, and managing incoming/outgoing mail (FedEx, messenger)Provide exceptional customer support by addressing inquiries promptly and professionallySkillsProven customer service experience at a front desk or reception role within a professional office environmentStrong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Clio (will train)Excellent organizational skills with the ability to multitask effectively in a busy settingBilingual abilities are highly valued to serve diverse client needsDemonstrated office management experience including calendar coordination and administrative supportExceptional phone etiquette with experience handling multi-line phone systems and customer service interactionsFamiliarity with MS Word, drafting cover letters, QuickBooks or similar bookkeeping software is preferredAttention to detail for proofreading documents and maintaining accurate recordsStrong time management skills to prioritize tasks efficientlyPersonal assistant experience or previous administrative roles that involved calendar management and clerical supportApplicants provide resumes to careers@jlc-law.com along with desired hourly wage.
