INTAKE COORDINATORJob DescriptionPosition OverviewLocation: 9150 Peridot Pkwy — In-Office (On-Site)Reports To: Operations ManagerEmployment Type: Hourly, non-exemptCompensation: $25.00 per hourWe are seeking a motivated and detail-oriented Intake Coordinator to join our team at our 9150 Peridot Pkwy office location. In this full-time, in-office role, the Intake Coordinator serves as a critical point of contact for prospective clients, referral partners, and internal staff. Reporting directly to the Operations Manager, this individual will be responsible for managing the intake process from initial inquiry through enrollment, with a strong emphasis on proactive outbound outreach.Key ResponsibilitiesOutbound & Inbound CommunicationMake a minimum of 50 outbound calls per day to prospective clients, referral sources, and follow-up contactsRespond promptly to inbound calls, emails, and inquiries regarding services and availabilityConduct professional and empathetic phone screenings to assess eligibility and fit Maintain consistent follow-up with leads through the full intake funnel Intake & EnrollmentGuide prospective clients and families through the intake process from first contact to enrollment Collect, verify, and accurately enter client information into the system of record Coordinate with clinical, administrative, and operational teams to facilitate smooth onboarding Prepare and send required intake documents and track completion statusTracking & ReportingMaintain accurate and up-to-date records of all intake activity, call logs, andoutreach effortsTrack key metrics including call volume, conversion rates, and census data Provide regular status updates and reports to the Operations ManagerCollaboration & SupportPartner with the Operations Manager and cross-functional teams to identifyopportunities for process improvementCommunicate effectively with referral sources and community partners tostrengthen relationshipsSupport special projects and administrative functions as assigned QualificationsRequiredHigh school diploma or GED; Associate’s or Bachelor’s degree preferred 1+ years of experience in a customer service, intake, admissions, or call center role Demonstrated ability to meet or exceed daily call volume targets (50+ calls/day) Strong verbal communication and active listening skills Proficiency with CRM software, EMR systems, or similar data entry platforms Excellent organizational skills with a high attention to detail Ability to work effectively in a fast-paced, in-office environment PreferredExperience in healthcare, behavioral health, home care, or social services settings Bilingual candidates strongly encouraged to apply Familiarity with insurance verification and authorization processes Work Environment & ScheduleThis is a full-time, in-office position located at 9150 Peridot Pkwy. Remote or hybridarrangements are not available for this role. Standard business hours apply; occasional flexibility may be required based on operational needs.
