Safety Department CoordinatorLocation: Lenexa, KSPosition SummaryThe Safety Department Coordinator provides administrative and operational support to the Safety Department by managing personnel systems, staffing visibility, scheduling coordination, and departmental processes. This role serves as a central coordination point for the Safety Department, supporting leadership by ensuring alignment across teams, projects, and key initiatives while improving consistency, communication, and overall efficiency.Personnel & System CoordinationSupport setup and alignment of safety personnel within company systemsMaintain accurate personnel records, reporting structures, and staffing assignmentsManage system access, distribution lists, and departmental directoriesEnsure alignment between staffing, project assignments, and internal systemsExecutive & Department SupportManage calendars, travel, and scheduling for safety leadershipCoordinate communication flow and route requests appropriatelyPrepare reports, summaries, and materials to support leadership decision-makingAssist with executive reporting and dashboard preparationWorkforce & Project VisibilityTrack overtime and labor data in alignment with company policiesMonitor project activity and personnel movement across teamsMaintain visibility on staffing changes, schedules, and project coverageEvent & Program CoordinationSupport planning and execution of safety events, including the annual Safety SummitAssist with company-wide safety initiatives (e.g., Stand-Down Week, Safe + Sound Week)Coordinate logistics, participation tracking, and travel arrangementsSupport recognition programs and engagement initiativesPersonnel Transition & SupportCoordinate onboarding support and 30-60-90 day milestone check-insTrack training progress and communicate outstanding requirementsMaintain organizational charts and contact directoriesSupport alignment across onboarding, training, and leadership teamsMeeting & Communication CoordinationManage department-wide and leadership meeting logisticsMaintain invites, agendas, and attendee listsTrack action items and follow-ups to ensure accountabilitySupport coordination of preconstruction and safety planning meetingsProcess Improvement & CollaborationIdentify opportunities to improve workflows and administrative processesSupport cross-functional coordination across Safety, Operations, HR, IT, and RiskCollaborate with administrative teams across the organization to ensure consistencyPreferred QualificationsExperience in administrative, coordination, or operational support rolesStrong organizational and communication skillsHigh level of attention to detail with the ability to maintain accuracy across multiple systems and tasksAbility to manage multiple priorities and deadlines in a fast-paced environmentProficiency in Microsoft Office and ability to learn new systemsExperience in construction or related industry preferredPosition OverviewThis role functions as a central support hub for the Safety Department—ensuring the right people, information, and processes are aligned to support safe, efficient project execution.
