Administrative Assistant (Bi-lingal)

Position SummaryThe Administrative Assistant is a full-time, on-site role based in the San Diego office. The position is responsible for supporting day-to-day office operations, coordinating meetings and events, managing vendor communication, and providing general administrative support to the team. In addition, this role will provide administrative support to C-level executives, including calendar coordination, meeting logistics, and travel arrangements.This position requires full professional proficiency in both English and Chinese (Mandarin); Must be a U.S. citizen or U.S. permanent resident (green card holder).Key Responsibilities·      Manage daily office operations to ensure a smooth, efficient, and professional working environment.·      Coordinate office meals and catering, including collecting headcounts, placing orders, confirming delivery, and handling basic cost tracking.·      Schedule and coordinate internal meetings and external appointments, including sending calendar invitations, confirming attendance, and arranging meeting logistics.·      Serve as a point of contact for external parties such as vendors, building/property management, delivery services, and other service providers.·      Support reception duties as needed, including greeting visitors, managing incoming calls, and handling deliveries and mail.·      Maintain office and pantry supplies, monitor stock levels, and place orders in a timely manner.·      Assist with the setup and cleanup of meeting rooms, including conference room booking, basic AV coordination, and refreshments or catering arrangements.·      Provide general administrative support such as document filing, data entry, basic spreadsheets, and expense documentation.·      Coordinate with external service providers for office maintenance, repairs, and workplace-related requests.·      Assist with the organization of internal events, team-building activities, or small company gatherings as assigned.·      Manage contracts and support team operations and cross-functional functions as needed.·      Perform other duties as assigned by leadership.Executive Support Responsibilities·      Provide administrative support to C-level executives, including proactive calendar management, scheduling internal and external meetings, and coordinating appointments across time zones.·      Prepare and organize meeting materials (agendas, presentations, and documents) and support meeting logistics; take notes and track action items when requested.·      Assist with domestic and international business travel arrangements, including flights, hotels, transportation, and itineraries, ensuring a smooth and efficient travel experience.·      Liaise with external vendors, partners, and service providers for executive meetings, events, and travel-related needs.·      Handle sensitive information with a high level of professionalism, discretion, and confidentiality.Qualifications·      Bachelor’s degree required.·      1–3 years of relevant experience in administration, office support, front desk, executive support, Contract management or a similar role preferred.·      Fluency in both English and Chinese (Mandarin) is required, including strong verbal and written communication skills in both languages.·      Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.·      Excellent interpersonal skills and a professional demeanor, with the ability to interact effectively with employees at all levels and external stakeholders.·      Proficiency in Microsoft Office.·      Proven ability to maintain confidentiality and handle sensitive information with discretion.·      Experience supporting senior leaders or C-level executives is a plus but not required.Preferred ProfileThe ideal candidate is service-oriented, proactive, and comfortable handling a wide range of administrative and office-related tasks.
