Leave & Accommodations SpecialistWe are seeking a highly organized and detail‐oriented professional to manage all aspects of employee leaves of absence (LOA), reasonable accommodations, and workers' compensation claims for our diverse workforce, which includes both salaried and hourly employees across multiple locations. This role is critical in ensuring compliance with all federal, state, and local employment laws, reducing risk, and promoting a supportive work environment.LocationOn‐site (Santa Fe, NM) or Remote, provided the candidate resides in one of the following markets: Santa Fe, NM; Denver, CO; Las Vegas, NV; Houston, TX; Dallas, TX; New York, NY; or Los Angeles, CA.CompensationThe base annual salary range for this position is $65,600–$88,560. Compensation may vary based on candidate location and experience.Key ResponsibilitiesLeaves of Absence (LOA) ManagementAdminister and manage all types of leaves of absence, including FMLA, state‐mandated leaves, military leave, personal leave, and company‐specific leave policies.Serve as the primary point of contact for employees regarding leave inquiries, eligibility, required documentation, and return‐to‐work procedures.Ensure timely distribution of all legally required notices and documentation related to leave.Coordinate with payroll and benefits teams to ensure accurate tracking of paid and unpaid leave time and maintenance of benefits during leave.Maintain accurate and confidential records of all leave documentation in compliance with regulatory requirements.Reasonable Accommodations (ADA/ADAAA)Manage the interactive process for requests for reasonable accommodation under the Americans with Disabilities Act (ADA) and state/local equivalents.Collaborate with employees and management to assess accommodation requests, explore potential options, and implement agreed‐upon solutions.Document the interactive process and outcome, ensuring compliance with relevant regulations.Work closely with managers to ensure understanding and proper implementation of accommodation plans.Workers' CompensationManage the end‐to‐end workers' compensation process, including timely reporting of claims to the third‐party administrator (TPA) and insurance carrier.Act as the liaison between employees, medical providers, TPA, and management throughout the claim lifecycle.Monitor and track all workers' compensation claims, ensuring appropriate documentation and adherence to jurisdictional requirements.Facilitate return‐to‐work programs, including managing temporary light duty assignments for injured employees and coordinating with managers to ensure suitable tasks are available.Analyze workers' compensation data to identify trends and recommend preventative safety and compliance initiatives.Compliance and Record‐keepingMaintain expert knowledge of federal, state, and local laws pertaining to FMLA, ADA/ADAAA, HIPAA, and workers' compensation.Conduct internal audits of LOA and accommodations files to ensure completeness and compliance.Assist in developing and updating HR policies, procedures, and employee handbooks related to leaves, accommodations, and workplace safety.Provide training and guidance to managers and HR partners on compliance best practices.Required QualificationsBachelor's degree in Human Resources, Business Administration, or a related field.3+ years of experience directly managing FMLA, ADA accommodations, and workers' compensation in a multi‐state environment.Proven expertise in applying federal and state employment laws (e.g., FMLA, ADA, state‐specific leave laws).Strong analytical, problem‐solving, and organizational skills with exceptional attention to detail.Excellent written and verbal communication skills, with the ability to handle sensitive and confidential information with discretion.HR certification (e.g., SHRM‐CP/SC P, PHR/SPHR) preferred.Experience managing compliance for both hourly (non‐exempt) and salaried (exempt) employee populations.Experience utilizing case‐management software for compliance tracking.Proficiency in HRIS systems and Microsoft Office Suite (Word, Excel).Work Environment and Physical DemandsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Employee may be required to remain in a sitting or standing position for prolonged periods and repeat motions that may include the wrists, hands, and/or fingers. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
