Administrative Assistant To OperationsThe Administrative Assistant for Operations provides direct administrative and operational support to the Executive Director for Operations and assists with the daily coordination of Transportation, Grounds, Information Technology, Maintenance, and Safety/Security. This position serves as a key point of contact for the Operations Department and requires strong organization, confidentiality, professionalism, consistency, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is dependable, proactive, detail-oriented, and able to support department needs with urgency, accuracy, and a positive service-focused approach.Essential Duties and Responsibilities:Provide direct administrative support to the Executive Director for Operations.Manage calendars, schedule meetings, coordinate appointments, and support daily department workflow.Serve as a first point of contact for routine Operations-related questions, requests, and follow-up items.Greet visitors, answer phones, respond to emails, route messages, and provide professional customer service.Prepare, edit, and distribute correspondence, memos, reports, forms, meeting materials, and other department documents.Maintain accurate records, files, calendars, spreadsheets, logs, and department documentation.Assist with facility use requests, contracts, calendars, insurance documentation, billing, and related work orders.Coordinate with custodial, grounds, maintenance, and other staff for building use, special events, snow removal, emergencies, and coverage needs.Process purchase orders, payment requests, invoices, and other budget-related documentation.Maintain personnel-related records for assigned Operations staff.Assist with supply ordering and inventory for Operations-related departments.Coordinate safety, security, and Incident Response Team meetings, including communication, setup, agendas, and meeting minutes or summaries.Assist with access control, proxy card setup, safety documentation, and other security-related records.Prepare absence reports and assist with collecting and compiling timecards for auxiliary personnel.Serve as an on-call small vehicle driver when necessary and properly certified.Perform other duties as assigned.Required Qualifications:High school diploma or G.E.D.Three to five years of office, administrative, or executive support experience.Strong knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and Teams.Excellent written and verbal communication skills.Strong organizational skills and attention to detail.Ability to manage multiple priorities in a fast-paced environment.Ability to maintain confidentiality and exercise sound judgment.Dependable, consistent, flexible, and able to work independently.Valid Colorado Driver's License.Ability to obtain district-required small vehicle certification.Preferred Qualifications:Experience working in a school district, public agency, or operations-related environment.Experience supporting executive-level leadership.Experience with purchasing, invoicing, facility use, records management, or work order systems.Bilingual Spanish/English skills highly desirable.CDL and/or PS2 endorsement preferred or willingness to obtain, if needed by the district.Desired Qualities:Professionalism, initiative, dependability, strong follow-through, discretion, flexibility, and a positive attitude.Ability to remain calm under pressure, communicate clearly, support multiple departments, and help keep the Operations Department organized and responsive.Physical and Environmental Requirements:This position may require occasional lifting, standing, walking, bending, reaching, kneeling, sitting, and use of standard office equipment.The employee may occasionally be exposed to noise, dirt, dust, odors, fumes, weather-related conditions, and operational work environments.Clearance:Must clear online background check and FBI fingerprint check through the Colorado Bureau of Investigation.Salary and Benefits:The hourly salary range for this position is $23.38$30.46 per hour. Final placement within the salary range will be determined based on the candidate's applicable experience, qualifications, and district compensation guidelines.Eligible employees may receive district health benefits, leave benefits, and participate in Colorado PERA, in accordance with district policy and state requirements.
