Customer Service Representative

Position SummaryDelta Performance Products is seeking a motivated and detail-oriented Customer Service Representative to serve as a primary point of contact for our customers. This role is responsible for managing customer inquiries, processing orders, coordinating with internal departments, and ensuring a positive customer experience from initial contact through order fulfillment. Experience in a manufacturing or distribution environment is a plus.Key ResponsibilitiesCustomer Order ManagementReceive, review, and accurately enter customer orders into the ERP system (Datacor/Chempax)Confirm order details including product specifications, quantities, pricing, and requested delivery datesCommunicate order status, shipping updates, and any delays to customers in a timely mannerProcess changes, cancellations, and special requests in coordination with Operations and SalesCustomer Communication & SupportServe as the primary point of contact for customer inquiries via phone and emailRespond promptly and professionally to questions regarding products, pricing, availability, and order statusResolve complaints and discrepancies by working collaboratively with internal teams including Accounting, Shipping, and ProductionBuild and maintain positive, long-term relationships with customersCoordination with Internal TeamsPartner with the Sales team to relay customer feedback, special requirements, and new account informationWork closely with the Warehouse and Shipping teams to ensure accurate and on-time order fulfillmentCoordinate with Accounting on invoicing questions, credit holds, and payment termsCommunicate product availability and lead times from Production to customers as neededDocumentation & Data ManagementMaintain accurate and up-to-date customer records, contact information, and account notes in the ERP systemAssist with generating quotes, order confirmations, and other customer-facing documentsSupport the preparation of shipping documents, bills of lading, and certificates of conformance as neededTrack open orders and follow up on pending items to ensure timely resolutionAdministrative SupportAssist with general administrative tasks related to customer service and order processingSupport the Sales team with sample requests, literature distribution, and follow-up activitiesHelp identify and communicate process improvement opportunities to managementOther DutiesProvide coverage during staffing shortages or peak periodsPerform additional administrative and operational tasks as assignedQualificationsEducation & ExperienceHigh school diploma or equivalent (required); associate or bachelor’s degree preferred2+ years of customer service experience, preferably in a manufacturing or distribution environmentExperience with an ERP or order management system (Datacor/Chempax experience a plus)Technical SkillsProficient in Microsoft Office Suite (Word, Excel, Outlook)Comfortable learning and navigating ERP systems for order entry and trackingStrong data entry skills with a high level of accuracyCompetenciesExcellent verbal and written communication skillsStrong organizational skills and ability to manage multiple priorities in a fast-paced environmentCustomer-focused mindset with a professional and positive attitudeTeam player who works well cross-functionally with operations, sales, and accountingProblem-solving ability and sound judgment in handling customer issuesWork EnvironmentOffice-based position with regular interaction with warehouse and production staffOccasional overtime may be required during high-volume periods or to meet customer deadlinesThis job description does not necessarily represent an exhaustive list of responsibilities, skills, duties, requirements, efforts, or working conditions associated with the job.
