You'll partner closely with the Clinical Director, BCBA Supervisors, and the Regional Operations Director to keep the clinic running smoothly so clinicians can focus on learner outcomes.Leadership and Team CultureProvide consistent leadership through training, coaching, and feedback to cultivate trust, positivity, and accountabilityFoster a healthy, collaborative, politics-free workplace that promotes engagement and teamworkBuild and maintain a high-performing, mission-driven team focused on learner progressPartner with the Clinical Director and BCBA Supervisors to support employee performance and developmentSupport hiring, onboarding, retention, and offboarding of clinic staff in partnership with HR and the Regional Operations DirectorEstablish a work culture that stimulates staff enthusiasm, collaboration, and rapport between colleaguesScheduling and AttendanceDevelop and maintain the master client and technician schedule to maximize utilization while supporting continuity and quality of careModify daily therapy schedules to accommodate client and technician absences; communicate changes promptly to staff and familiesDevelop daily lunch break schedules and group therapy coverage assignmentsAudit and confirm Central Reach schedules accurately reflect the services deliveredAudit billable appointments and session notes for compliance; coordinate with the Insurance Coordinator to ensure accurate and timely billing Review and approve time-off requests and employee timesheetsLesson Plans and Daily Programming SupportPrepare and implement lesson plans for each learner groupCoordinate facilitation of Circle Time and group activitiesSupport clinic staff in administrative duties throughout the workdayProvide direct services as determined by the Clinical Director, depending on clinic needsNew Learner Readiness (Staff and Clinic Areas Only)This role does not own intake, family inquiries, or onboarding logistics with families. New learner duties are limited to operational readiness once a learner has been accepted.Prepare clinic spaces, materials, and equipment for each incoming learner ahead of their start dateCoordinate with the clinical team so assigned staff are scheduled, trained, and ready to support the new learner on day oneConfirm room assignments, supply needs, and any required environmental adjustments are in place before the learner's first sessionFacility ManagementMaintain a clean, safe, and secure working environmentMaintain record and stock of all inventory; complete monthly inventory distributionPrepare and submit requisition orders for supplies as neededRegularly complete center audits for functioning materials, furniture, and appliancesSubmit purchase or repair requests and oversee equipment tracking in collaboration with HR and FinanceEngage with third-party vendors as needed; maintain relationships with landlords and subcontractors, and coordinate repairs and maintenanceEnsure proper facility hygiene, safety, and maintenance using approved vendors; maintain all required documentationLead processes and engage other team members in caretaking and accountability for a clean, efficient work environment for clients and staffEvaluate effectiveness of work activities and partner with directors to solve workflow problemsStaff and Family Engagement EventsLead the coordination of supplies and celebration events for client and staff milestones (graduations, birthdays, service anniversaries, exam celebrations, life events, etc.)Collaborate with the Regional Operations Director on company team building and appreciation eventsOrganize staff engagement activities including team check-ins, huddles, Fun Fridays, and triviaNotify clinic leadership of upcoming birthdays, service anniversaries, or other staff milestonesSafety, Compliance, and BudgetLead routine safety drills (fire, tornado, and others as required)Conduct monthly review of safety procedures and update training or protocols as neededOrganize and document all safety drills and ensure compliance with local regulationsConfirm safety exit plans and business licenses are prominently displayedAssist with responding to and reporting potential privacy, information security, or compliance concerns; serve as a resource for required forms and report contactsManage the clinic's operating budget in partnership with the Regional Operations Director, including resource allocation and purchasingWhat We Are Looking ForDemonstrated experience leading day-to-day operations in a clinical, educational, healthcare, or multi-staff service environmentStrong scheduling, organizational, and project management skills; comfortable juggling competing prioritiesProven ability to coach, develop, and hold teams accountable while maintaining a positive, collaborative cultureExcellent written and verbal communication skillsComfortable with operations and scheduling platforms (experience with Central Reach is a plus)Working knowledge of facility safety standards, basic compliance, and vendor coordinationAlignment with Elevation's core values and a learner-centered approachAble to work full-time on-site with frequent walking, standing, and movement around the clinic; occasional lifting of supplies and materialsIf you're ready to be part of a team that's changing lives every day, we'd love to hear from you!RequirementsMust have fewer than 3 attendance points in the past 90 daysMust remain in good standing for time and attendanceMust be meeting expectations for professionalism and conduct in current position
