Marketing Coordinator
Wallace Design Collective is seeking a talented and dynamic Marketing Coordinator to join our Tulsa office. We're searching for a proactive and detail-oriented marketing professional who can partner with our team to elevate our brand through compelling qualifications, proposals, presentations and marketing materials. This new role is essential to supporting our growth, specifically focusing on
the procurement and pursuit efforts for our Atlanta, Nashville, Kansas City and Denver offices. The ideal candidate is a self-motivated team player with a deep understanding of the AEC industry and of Adobe Creative Cloud.

How This Position Supports Our Purpose and Strategy
Supports the development and execution of marketing strategies that promote the firm’s services, including conducting market research, creating marketing materials, coordinating marketing campaigns, and supporting digital marketing initiatives.
Department Role
Marketing production and support services for the firm’s principals, clients, conferences and events
This position assumes that the requirements and skills of previous positions have been and continue to be met and that responsibilities are heightened.
Embrace and implement corporate brand standards
Assist with graphics, writing and proofreading
Contribute to ensuring compliance with copyright laws and photographer usage rights
Communicate and collaborate with marketing/bd and technical professionals across One Wallace
Monitor sources of industry-related marketing information
Contribute to tracking professional industry organizations and community events
Gather research data related to current and prospective markets and clients
Contribute to CRM maintenance and data entry related to clients, prospects and consultants
Maintain scheduling and tracking systems for project pursuits
Maintain a list of relevant resources and achieve proficiency in understanding regulations to ensure compliant RFQ/RFP responses
Produce SOQs/proposals, including writing and graphics, prepare for digital and/or print reproduction and arrange for on-time delivery
Identify and monitor SOQ/proposal criteria, ensure the response is fully compliant
Track pre-submittal meeting schedules and post-submittal milestones (shortlist notification, interviews, award, etc.)
Gather content from team and consultants as needed
Coordinate and lead interview prep meetings with team (prime)
Prepare interview presentation and leave-behind materials
Contribute to maintenance of company procurement registrations, professional staff licensure
Prepare written and visual information for client presentations
Contribute to Project Data Library maintenance and data entry related to project scope descriptions, project team, costs, quotes, etc.
Contribute in coordination of open houses and special events
Collaborate on strategy for online presence, including social media, website, eblasts
Contribute in tracking media kits and opportunity deadlines for press releases
Contribute to coordination of awards competition entries; ensure compliance with award requirements
Skill Sets
Understanding of basic marketing/BD principles
Working knowledge of industry, CRM and graphic design software (adobe creative cloud)
Knowledge of database concepts
Excellent organizational skills and multitasking
High attention to detail and quality of work
Ability to collaborate and work well with various types of personalities and work styles
Excellent time management skills
Basic understanding of go/no-go process
Understanding SOQ/proposal production, including digital and printing/binding
Writing and proofreading ability
Passion for participating in professional development and community-focused organizations
Qualifications
7 to 15 years of professional experience, ideally within an architecture, engineering, or
construction (AEC) firm
Bachelor’s degree in Marketing, Communications, Business Administration or a related field
Advanced proficiency in Adobe Creative Cloud (specifically InDesign, Photoshop and Photoshop) is required
Comfort and familiarity with Apple/Mac hardware is preferred
Exceptional soft skills, detail-oriented mindset and a proactive approach to project management
